Abington Heights District Office Special Education Secretray ~ 12 Month, Full Time District Office The Special Education Department Secretary provides comprehensive administrative and secretarial support to the Special Education Department, ensuring efficient operations and compliance with all federal, state, and local regulations regarding special education. This role requires excellent organizational skills, attention to detail, strong communication abilities, and a commitment to maintaining confidentiality.
Essential Job Functions Administrative Support:
Manages calendars, schedules meetings, and coordinates appointments for the Director of Special Education and other department staff. Prepares, edits, and distributes a variety of documents, including correspondence, reports, forms, presentations, and individualized education programs (IEPs). Maintains organized and confidential student records, ensuring accuracy and accessibility. Manages incoming and outgoing mail, emails, and phone calls, directing inquiries appropriately. Orders and maintains office supplies, equipment, and forms for the department. Assists with budget tracking, processing invoices, and managing departmental expenditures. Organizes and maintains departmental filing systems (physical and electronic).
Special Education Specific Support:
Assists with the coordination and scheduling of IEP meetings, re-evaluation meetings, and other special education-related meetings, including sending out invitations and reminders. Maintains the special education student information system (e.g., Infinite Campus) ensuring data accuracy and completeness. Serves as a primary point of contact for parents, staff, and the community regarding special education inquiries. Performs other duties as assigned by the Director of Special Education or their designee. Maintains a professional and welcoming demeanor when interacting with all stakeholders. Collaborates effectively with other school/district departments as needed. Attends relevant professional development opportunities as required. Processes referrals for special education services and maintains referral logs. Additional Duties Perform any other related duties as assigned.

Ability to report work orally or in writing to supervisor as required. Effective writing and verbal communication skills. Qualifications Profile Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to: High School diploma or equivalent. Prior successful clerical experience preferred.
