06/18/2025 This is an anticipated full-time (260-day) District Office Administrative Assistant which falls under the confidential staff contract. This position will tentatively begin on or after June 30, 2025. SUMMARY The District Office Administrative Assistant will provide clerical support and assist with special projects as assigned by the District Office leadership team. This position will support all areas of the District Office including, but not limited to: business office operations, human resources, central registration, transportation, professional development for staff, communications, social media and website support, special projects, and additional clerical duties as assigned. The administrative assistant will have the ability to function independently and cooperatively in an ever changing, fast paced environment. Must comply with the requirements of the Pennsylvania School Code for Public School Employees.

ESSENTIAL JOB DUTIES AND FUNCTIONS
Curriculum & Instruction Support:

Support teacher professional development tracking and Act 48 compliance Assist in tracking and reporting Act 45 hours for administrators Support state and federal program documentation and budgeting records

Student Registration:

Manage student data in the district information system (PowerSchool) Support enrollment processes and interdepartmental communication Process student transfers and maintain accurate records

Child Accounting:

Assist in maintaining data for district-of-residence determinations and various student enrollment categories (e.g., foster, IU, tuition waiver)

Transportation Support:

Assist Transportation Coordinator with bus assignments, field trips, and van scheduling Effectively communicate during school transportation requires coordination with the bus company, PASD staff, and families to relay any delays or issues

District Office Support:

Provide coverage and assist with scheduling as needed Answer phones, handle correspondence, and assist with general office operations Perform additional administrative and support tasks as required to ensure the efficient operation of the District Office

REQUIRED QUALIFICATIONS

To successfully perform this position, a person must be able to perform each essential duty satisfactorily. The qualification requirements listed below represent minimal levels of educational achievement, training, skill and/or ability necessary. High school diploma or equivalent required. Excellent organization, computer, and communication skills (both written and verbal) are required. Prior experience working in an office environment for a minimum of three (3) years is required. Excellent organizational, written, and verbal communication skills. Ability to work independently, multitask, and manage time effectively. Demonstrated ability to maintain confidentiality and handle sensitive information with discretion. Strong attention to detail and a proactive approach to problem-solving.

PREFERRED QUALIFICATIONS

Previous experience working with websites and business social media accounts is preferred. High school diploma required; college degree preferred. Previous experience working with Powerschool, BusTracks, and Frontline/Professional Growth preferred.

ADDITIONAL INFORMATION

Working hours for this position are 8:30 AM

  • 4:30 PM, Monday
  • Friday. Minimum starting rate of $18.21, midpoint $23.07, and maximum $27.92 per hour
