Project Administrator Job Description Join our dynamic team as a Project Administrator where you will play a crucial role in supporting project and construction management tasks. This position offers a fantastic opportunity to contribute to a well-known construction company focused on healthcare in the Lehigh Valley. Responsibilities Manage accounts payable and change orders including entry, processing, and filing in both electronic and hardcopy formats. Assist estimators and project managers with bid projects, including bidder solicitation and monitoring, as well as bid document preparation such as letters, reports, and bid forms. Handle general project filing, manage construction documents, and correspond with trades regarding revised documents. Maintain both active and archived construction documents. Manage insurance coverage records, prepare for Worker’s Comp audits, and handle subcontractor certificates of insurance. Support the development and management of company marketing materials. Assist with the preparation of close-out manuals alongside the Project Coordinator as needed. Provide assistance to project managers with revised drawings, accounts payable queries, and permit fees. Support field superintendents with the procurement of dumpsters, trailers, and jobsite materials. Manage general subcontractor correspondence, including billing discrepancies and documentation requests. Oversee incoming and outgoing mail, including Certified and FedEx shipments. Manage office supplies and ordering. Handle phone calls and manage the automated attendant system. Cross-train in other administrative responsibilities to provide supplemental assistance during peak workload periods or coverage during PTO. Offer assistance to management personnel and front desk coverage, including greeting visitors and guests. Help manage zoning and building permit requirements and associated fees, including cost database management. Assist with the documentation of company safety management reporting and programs. Essential Skills Proficient in Microsoft Office, including full Teams collaboration and utilization. Skilled in Adobe Acrobat and Creative Suite. Experience with Procore or Sage is highly beneficial. 5+ years of project administrative experience, preferably with a construction or mechanical trades outfit. Experience assisting in an estimating department within construction is advantageous. Additional Skills & Qualifications Experience in construction or property management is desirable. Attention to detail and strong proofreading abilities are essential. Experience with invoicing and change orders is a plus but not required. Work Environment This role is based in an office environment, supporting various project managers internally, primarily in estimating. The standard working hours are Monday to Friday, 8 AM to 5 PM. The dress code is business casual.
