This dynamic role requires a proactive professional who thrives in a fast-paced environment and is passionate about supporting both the team and its clients through exceptional organizational, marketing, and transactional support. Key Responsibilities Marketing and Communication-Coordinate and prepare materials for campaign and property promotions. Marketing and Communication-Coordinate and distribute monthly and quarterly mailers to clients as needed Marketing and Communication-Prepare personalized note cards for the team leader to complete for past and current clients. Marketing and Communication-Collaborate with the marketing team to enhance brand presence. Marketing and Communication-Create buyer and seller material, and other branded collateral for the team leader. Client Engagement & Events-Assist in planning and executing client appreciation events, housewarming parties, and other team hosted gatherings. Client Engagement & Events-Organize & manage pop-by gifts, anniversary, holiday, and closing gifts for clients. Transaction & Vendor Management- Oversee transaction coordination for the entire team, ensuring a smooth process from contract to closing. Transaction & Vendor Management-Arrange vendors, gather competitive bids, and make site visits to check on vendors. Transaction & Vendor Management-Maintain consistent communication with clients and vendors to provide timely updates throughout each transaction. Administrative & Team Support-Support the team leader with daily operational tasks and special projects as needed. Administrative & Team Support-Conduct cold calls to schedule appointments with expired listings and for-sale-by-owner leads when required. Administrative & Team Support-Monthly tasks to include sign/lock box pick-up and delivery. Meeting contractors and inspectors as needed. Qualifications Exceptional time management and organizational skills with a keen attention to detail. Proactive, decisive, and able to take initiative independently. Strong written and verbal communication skills; must be comfortable calling on the phone. Goal oriented and self-motivated, with a positive, team focused attitude. Punctual, dependable, and trustworthy, with a high level of integrity and ethical standards. Ability to quickly learn and implement office systems and procedures. Comfortable working both independently and within a small team environment. Advanced computer skills, including Google Docs, Excel, and process-based platforms. Proficiency in internet research and a willingness to learn on the fly. Previous real-estate experience is a plus but not required.
