OVERALL DESCRIPTION

Prepares, types, copies, files, and maintains correspondence, work records, and various departmental notices and forms as required, seniority lists, picking sheets, report of interviews, sick and dropped directives.

SPECIFIC RESPONSIBILITIES

Types various correspondence and forms such as seniority lists, picking sheets, report of interviews, requisitions, sick and drop directives, vacation packages and assignment schedules. Creates and maintains files for correspondence, seniority lists, picking sheets, report of interviews, accident reports, requisitions, sick and drop directives, vacation packages and assignment schedules. Creates various forms for reports that include seniority lists, report of interview, picking sheets, delay sheets, assignment schedules and other similar reports. Prepares change of status forms (3114’s) to effect increases, transfers and change of address. Assists in maintenance of employee sick, vacation and attendance records. Types, posts and distributes authorized notices at appropriate locations. Coordinates various documentation for grievance hearings; creates and maintains files for same. Assists employees with various benefit coverage inquiries and provides appropriate benefit forms. Types job postings, distributes to appropriate locations and maintains list of postings. Answers the telephone promptly and courteously, screens calls for the department, taking messages and routes calls to proper individual. Complies with all Authority and Departmental safety and security policies and procedures, as well as all applicable job safety responsibilities. Reports any safety concerns, compromises, or hazards in the immediate working environment to Supervision and takes initiative to alleviate potential and existing hazards affecting self and other employees. Is responsible for the individual’s own safety and is encouraged to promote the safety of others. Performs miscellaneous duties as assigned.

ADDITIONAL SPECIFIC RESPONSIBILITIES QUALIFICATIONS AND EXPERIENCE

High school graduate or equivalent is required. Typing at a minimum of 45 wpm required. (must pass typing test). A working knowledge of MS Office, Outlook, Word, Excel, and spreadsheet design is required. A general knowledge of filing and other clerical duties is required.
