Job Description:

The Permit Expediter will be responsible for managing and accelerating the permitting process for various construction and development projects. This includes preparing documentation, submitting applications, tracking progress, and communicating with regulatory agencies to ensure timely approvals. You will need to be highly organized, adaptable, and able to prioritize tasks while working independently.

Schedule:

This opportunity comes with a flexible schedule based on the candidates’ preference and availability. There is a 3 month probationary period.

Duties include:

Learn and apply Philadelphia building code and zoning requirements in open projects to better progress approvals in zoning and construction, implement strategy, and support the end goal of projects Coordinate with city departments, planning commissions, and zoning boards to facilitate approvals. Maintain consistent communication with clients, internal teams, and agency contacts throughout the permit lifecycle. Stay up-to-date on relevant municipal code changes and permitting trends. Collaborate with architects, engineers, and project managers to gather required documentation. Contribute to and attend project meetings with internal staff Receive and distribute project information to clients and vendors Coordinate deadlines and communicating timelines with client’s project team Upkeep personal calendar, appointments, events, and project schedules (start/completion dates – deadlines) for daily activities & task Tasks include: Answering phones and taking notes and/or messages Research and identify permitting requirements for residential, commercial, and affordable housing projects across multiple jurisdictions. Prepare, review, and submit permit applications, ensuring accuracy and compliance with local codes and regulations. Track application statuses, follow up on pending permits, and resolve delays or issues proactively. Maintain organized records and logs of all submissions, approvals, revisions, and communications. Helping prepare for meetings and sending reminders Disseminating messages from clients and vendors to the appropriate staff member Organize and monitor schedules

Experience:

Experience with project management systems like Trello is preferred, but not required Proven experience as a permit expediter or in a similar role within construction, real estate, or municipal planning. Strong knowledge of permitting processes and local government regulations. Exceptional organizational and time-management skills. Excellent written and verbal communication skills. Proficiency in using project management tools, spreadsheets, and digital platforms. Ability to manage multiple projects and deadlines simultaneously. High attention to detail and ability to spot errors or inconsistencies. Comfortable working independently and as part of a collaborative team. Preferred Qualifications Experience with affordable housing or community development projects. Familiarity with e-permitting systems and digital plan review platforms. Bachelor’s degree in urban planning, construction management, or a related field (preferred but not required). Multilingual abilities (a plus, depending on jurisdiction).
