Responsibilities Responsible for the maintenance, accuracy andcompleteness of student records and schedules. Supervises allRecords staff. Follows all integrity guidelines and procedures andensures no manipulation of student data. Interviews and recommendsfor hire, disciplines and evaluates performance of the directreport staff. Fills staff vacancies in a timely manner. Overallresponsibility to ensure the integrity of all student-relatedactions, accountability and performance outcomes. Supervises theStudent Records function through effective planning, scheduling,training and staff supervision. Trains Student Records Clerks,Records Officer and other department staff in the maintenance andcompletion of Student records. Such training shall ensurecompliance with applicable USDOL requirements. Performs statisticalanalyses of student records data. Administers the Center’scompliance with the requirements and provisions of the OASIS andCIS database management programs. Serves as back-uppoint-of-contact for CIS. Ensures the accurate and completemaintenance of student records to facilitate the timely submissionof required reports (i.e. morning report, weekly report, leaverecords, allotments, enrollment and pay). Assists students onmatters relating to pay and clothing allowances, leave, classschedules and travel/transportation. Ensures accurate and timelyreconciliation of Government provided travel per DOL guidelines.

Ensures compliance with all privacy and confidentialityregulations. Assists in the development of Center policy andprocedure as necessary. Adheres to all USDOL and Job Corpsguidelines regarding student records. Serves as the Center’sAccountability Officer. Monitors student accountability issues anddocumentation, i.e., morning attendance check and serializedregister. Ensures the accuracy and integrity of accountabilitydocumentation. Provides superior customer service at all times.

Effectively motivates, empowers and requires staff to performhis/her job responsibilities. Employs sound time-management anddelegation skills. Holds staff accountable for producing qualitywork, develops staff for career progression and disciplines staffthat fail to meet goals. Provides required/supplemental trainingfor new and current employees. Motivates and manages staff to workeffectively, creates a supportive work environment, recognizesstaff accomplishments and proactively addresses staff performanceconcerns. Mentors, monitors and models the Career Success Standardsas required by the PRH. Shows respect and courtesy to students andholds them accountable for their actions and behavior. Providesquality services for students and ensures that quality ismaintained and student needs are met. Pursues improvement andenhancement of requisite services. Exchanges ideas and information,both orally and in writing, in a clear and concise manner andcontributes meaningfully to group efforts by offering relevantideas and knowledge. Provides quality and timely information toDOL/Company when requested. Effectively articulates thoughts andideas. Identifies problems, analyzes causes and evaluatesappropriate solutions prior to taking or recommending actions.

Follows up to ensure prompt/appropriate action is taken and thatproblems are in fact corrected. Works in partnership with stafffrom all Departments to ensure effective supervision and servicesare provided to students. Accepts direction and supervision fromthe Center Director/Center Duty Officer/Shift Manager to includeassignments to temporarily perform job responsibilities of otherdepartments and positions. Other duties as assigned. QualificationsRequirements Associate’s Degree from an accredited school required.

Bachelor’s degree preferred. Two years of related supervisoryexperience in records keeping, administrative support andelectronic records preferred. Computer literacy and proficiency inspreadsheet and word processing applications required. TheAssociates Degree requirement may be substituted with a high schooldiploma and five years of Job Corps records management experience.”Adams and Associates, Inc. abides by the requirements of 41 CFR §§60-300.5(a) and 60-741.5(a).
