Remote Job Summary:

Axon ABA Solutions, LLC is seeking a highly organized and professional Administrative Assistant to support the daily operations of our growing ABA practice. This role is vital to ensuring smooth administrative processes across billing, communication, recruiting, and front desk support. The ideal candidate is detail-oriented, displays strong organizational skills, computer literacy and the ability to manage multiple tasks efficiently in a fast-paced healthcare environment.

Key Responsibilities:

Billing Support:

Assist with client billing and invoicing processes Verify insurance information and ensure accuracy of billing documentation Follow up on unpaid claims and coordinate with insurance providers as needed Maintain accurate records of client sessions and billing logs 2.

Communication & Office Coordination:

Respond promptly and professionally to emails and phone inquiries Manage the company inbox and route messages to the appropriate staff Manage the company social media pages Schedule meetings and communicate with clients, staff, and external partners Provide outstanding customer service and support to clients, addressing inquiries and resolving issues promptly Maintain organized office records, files, and databases to facilitate easy access to information Collaborate with team members on projects, ensuring deadlines are met and tasks are completed efficiently 3.

Recruiting & Onboarding:

Post job openings on job boards and internal platforms Review resumes and coordinate initial screening interviews Schedule interviews and communicate with applicants Assist with onboarding paperwork and compliance documentation 4.

Phone Management:

Answer incoming calls and greet clients and visitors warmly Provide information about services and direct calls appropriately Manage daily check-in/check-out processes for clients Assist in managing phone communications, demonstrating excellent phone etiquette while handling calls

Qualifications:

High school diploma or equivalent (Associate’s or Bachelor’s degree preferred) Minimum 1-2 years of administrative experience, preferably in a healthcare or behavioral health setting Familiarity with ABA therapy, medical billing, or insurance processes is a plus Proficient in Microsoft Office, Google Workspace, and basic scheduling tools Demonstrate ability to communicate effectively both verbally and in writing. Ability to handle sensitive information with confidentiality and professionalism Excellent organizational skills with a keen attention to detail. Previous experience in an administrative role or customer service position is preferred. Strong computer literacy with the ability to quickly learn new software systems.
