ESSENTIAL FUNCTIONS & RESPONSIBILITIES
- Serves as the receptionist for the office, greeting and assisting visitors
- Answers phone, directs calls to appropriate individuals, and takes messages as necessary
- Retrieves and distributes incoming mail, and processes outgoing mail
- Maintains front office common areas such as conference rooms, kitchen area, entryway, etc.
- Maintains filing system
- Assist Managing Director with organizing meetings, coordinating off-site events for visitors, making travel arrangements, and other related tasks
- Assists Accounting with various tasks such as AP coding and vendor invoice entry, vendor check and cash receipt processing, purchase order and inventory transaction entry, packing slip and invoice generation
- Performs related duties as required or assigned within the job classification
SKILLS, ABILITIES, & QUALIFICATIONS
- Associate’s degree in Business, Accounting, or related field preferred, but not required
- Exceptional communication skills
- Detail-oriented and ability to multitask
- Basic understanding of office practices, procedures, and equipment
- Proficient with Microsoft Office including Excel, Outlook, and Word
- Ability to work independently, identify and solve problems
- Ability to organize and prioritize tasks
- Maintain the highest level of discretion and confidentiality with sensitive information
