ESSENTIAL FUNCTIONS & RESPONSIBILITIES
  • Serves as the receptionist for the office, greeting and assisting visitors
  • Answers phone, directs calls to appropriate individuals, and takes messages as necessary
  • Retrieves and distributes incoming mail, and processes outgoing mail
  • Maintains front office common areas such as conference rooms, kitchen area, entryway, etc.
  • Maintains filing system
  • Assist Managing Director with organizing meetings, coordinating off-site events for visitors, making travel arrangements, and other related tasks
  • Assists Accounting with various tasks such as AP coding and vendor invoice entry, vendor check and cash receipt processing, purchase order and inventory transaction entry, packing slip and invoice generation
  • Performs related duties as required or assigned within the job classification
SKILLS, ABILITIES, & QUALIFICATIONS
  • Associate’s degree in Business, Accounting, or related field preferred, but not required
  • Exceptional communication skills
  • Detail-oriented and ability to multitask
  • Basic understanding of office practices, procedures, and equipment
  • Proficient with Microsoft Office including Excel, Outlook, and Word
  • Ability to work independently, identify and solve problems
  • Ability to organize and prioritize tasks
  • Maintain the highest level of discretion and confidentiality with sensitive information
