Handles data management, compliance reporting, transportation coordination, and staff training logistics across the Foster Glocester Regional School District which services the Scituate, Foster, Glocester and Foster-Glocester Region School Departments. Serves as a key point of contact for staff, parents, and external agencies, ensuring efficient operation of special education processes.

ESSENTIAL FUNCTIONS

1.

Student Special Education Records Management:

Maintain and manage records for active and inactive students, ensuring compliance with legal retention and purge requirements.

Process requests for records from districts, parents, students, evaluators, and agencies using Adobe Pro.

Scan and upload signed documents and reports to special education databases (approx. 5,000+ uploads per year).Handle enrollments, withdrawals, out-of-district evaluation referrals, and placements.2.

RIDE Special Education Census:

Manage census reporting for the district, including regular and extended school year data.

Ensure alignment with general education data to prevent budget discrepancies.

Submit evaluation data (Indicator 11) and early intervention data (Indicators 6, 7, 12).Track referral timelines to maintain 100% compliance.3.

Special Education Database Management:

Administer the Special Programs database, updating student and staff records.

Provide technical support and troubleshoot user errors or database issues.

Process IEPs, meeting notes, consent forms, and manage caseloads for special educators, psychologists, therapists, and related personnel.

Generate monthly census reports for administrators, guidance, and data managers.4.

Administrative Support:

Manage calendars and schedule student meetings for schools in the district.

Compose correspondence and prepare student-related records independently.

Answer calls, process faxes, and manage mail for the special education office.

Provide general support to staff, parents, and students, resolving issues with judgment.5.

Transportation Coordination:

Coordinate special needs transportation with district and statewide providers.

Maintain transportation records and communicate with staff and business offices.

Troubleshoot issues with providers, parents, and outplacement schools.6. Extended School Year (ESY)

Coordination:

Compile student records, attendance, and contact worksheets for ESY educators.

Coordinate medical records, equipment, and work materials transfers for ESY.7. Safety Care Certification (QBS): Track regional staff certification and recertification training.

Coordinate with QBS trainers, administrators, and staff to schedule sessions.8. Special Education Local Advisory Committee (SELAC): Coordinate agendas, minutes, and schedules with administrators and parent liaisons.

Submit advertisements and maintain compliance with open meeting requirements via the Secretary of State account.9.

Additional Responsibilities:

Manage data collections for compliance (e.g., Indicators 13, 14, SSOPs, graduation notices).Coordinate Registry for the Blind with RIVESP and process facilities requests.

Create fillable forms using Adobe Pro and maintain shared resource folders.

Develop staff tutorials for form completion and manage DocuSign accounts/templates.
