Under the direction of the Law Clinic Administrator, the Clinic Administrative Assistant and Spanish Interpreter is the primary support for all matters of operational efficacy and protocol, and the primary internal support in the wide variety of routine and special projects managed and administrated on behalf of the Providence Law Clinic. The Clinic Administrative Assistant is often the first voice and/or face of the Law Clinic. Essential Functions/Characteristics Clinic Duties Maintain the Clinic case management program including opening client files, updating client information, performing client conflict checks, and closing client files. Assist students with preparation for court and perform other duties necessary for the efficient daily operation of the clinic environment. Create word-processed documents including correspondence, affidavits, briefs and other legal documents for review. Coordinate and schedule clinical student tours and community partner events. Record all appointments and case deadlines in Clinic published calendar for clinic Directors and student attorneys. Maintain Bridges course material, course calendars, and regularly document procedures outlining job duties and responsibilities. Schedule interpreter services, as needed, and monitor and report on performance including accuracy of monthly billing and resolving errors with interpreter vendors. Prepare client entry of appearance forms and place in client files. Setup legal files and maintain in good order, per standard. E-file documents with courts as necessary. Notarize documents as necessary. Spanish Interpreting Duties Handle all incoming and outgoing telephone communications with Spanish speaking clients and other necessary parties. Provide interpretation for student attorneys at meetings and in phone calls with Spanish-speaking clients, family members, and other necessary parties. Translate any and all necessary documents, including court documents, pleadings, letters, and other forms of communication, from English to Spanish and from Spanish to English. General Office Duties Train students on office equipment use, maintain and troubleshoot equipment problems, and arrange for needed repairs. maintain inventory of supplies and report as needed for ordering. Assist with oversight of student use of computer programs and instruction. Perform miscellaneous photocopying, filing, and file maintenance requests. Open, stamp, and sort all incoming mail to appropriate person. Answer incoming telephone calls, direct calls to appropriate person/department, and greet clients and outside attorneys. Additional Functions Present the character, decorum, energy and professionalism of the Law Clinic in all communications, both written and verbal. Provide coverage at the Bristol campus School of Law, as required. Respect and maintain confidentiality, parameters of operation, professional protocols, and individual privacy. Perform other duties as assigned by supervisor or supervisor’s designee.
Job Requirements:
Associate’s Degree in secretarial, administrative, or a related field. Rhode Island Notary Public. (or, become one within 6 weeks of hire) Fluency in Spanish, with the ability to read, write, translate, and interpret on a professional level. Excellent word processing skills and experience using Word and other Microsoft Office applications. Detail-oriented, multi-task oriented, and excellent grammar and spelling abilities required. Ability to work independently and comfortably in a support capacity with Law Clinic Administrator, clinic directors, staff, and student attorneys. Ability to effectively communicate and interact with cultural awareness and sensitivity with clinic clients. Ability to effectively communicate and interact with cultural awareness and sensitivity with law students, faculty, staff, outside attorneys, members of the judiciary, and others who come into contact with the law clinic office. Demonstrable knowledge of, or ability to acquire knowledge of, legal terminology, law office procedures and protocol, as well as Rhode Island practice, procedure and legal forms. Ability to independently compose basic legal correspondence. Preferred Qualifications Legal secretarial and/or paralegal experience, preferably in a litigation environment. At the University’s discretion, the education and experience prerequisites may be excepted where the candidate can demonstrate, to the satisfaction of the University, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
