Provides clerical and administrative support to ensure the smooth and efficient operation of the Hearing Office. Performs a variety of duties, including editing and preparing professional documents using advanced Microsoft Word features, filing, copying, answering calls, scheduling appointments, processing mail, and entering data. Communicates effectively with parents, staff, and administrators.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Provides secretarial support using advanced skills in Microsoft Office Suite products, including Word, Excel, PowerPoint, Outlook, OneNote, and Publisher. Assist parents in resolving issues in accordance with district and board policy. Creates professional documents such as presentations, letters, reports, memos, and manuals. Perform duties such as answering, screening, and directing telephone calls/email, processing incoming mail, developing and maintaining a filing system, greeting visitors, scheduling meetings/hearings/appeals. Proofreads for grammar, punctuation, and consistency, and applies proper formatting and layout standards. May order, track, and monitor office supplies and equipment. Handles confidential documents appropriately and maintains secure files and records, including student and employee information. Enters data into computer systems as assigned. Communicates and interacts effectively with school administrators, staff, students, parents, community members, business representatives, government officials, and other agencies. Accurately maintains calendars for the Hearing Office. Serves as liaison between the Hearing Office, principals, teachers, support staff, district offices, and other personnel. Maintains office inventory and orders supplies in consultation with the supervisor. Participates in district-wide meetings, training sessions, and information dissemination. Supports the department/office by ensuring accurate and effective data usage, maintaining reliable communication between district and school levels. Responds to complaints and inquiries, referring them as needed, and provides accurate interpretation of school district policies, rules, and regulations. Compiles and analyzes data, prepares statistical reports, and maintains various recordkeeping systems, including those of a confidential nature. Operates general office equipment, including computers, printers, copiers, projector screens, calculators, fax machines, and telephones. Performs other duties as assigned by the Hearing Officer and/or Director of Student Services.
JOB SPECIFICATIONS
EDUCATION and/or
EXPERIENCE
Minimum of high school diploma and three years of experience using computer applications in an office environment, or a post-secondary degree in computer applications with some related work experience; or an equivalent combination of education, training, and experience. Such alternatives to the above qualifications as the Board of Education may find appropriate and acceptable.

LANGUAGE SKILLS
Advanced knowledge of Business English, spelling, punctuation, mathematical computation, and possession of an excellent vocabulary. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write and/or type routine reports and correspondence. Ability to speak effectively before groups of district personnel or organizations.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measurement, using whole numbers, common fractions, and decimals. Application of percentages, ratios, and proportions to practical situations is required.
REASONING ABILITY
Ability to interpret and carry out instructions furnished in written, oral, diagram, or schedule form. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to analyze information and use logic to address work-related issues and problems. Ability to quickly assess employee, departmental, and administrative needs and provide timely feedback. Ability to analyze varied functions, processes, and tasks for the preparation of varied and complex records and reports. Thorough knowledge of the principles of office management and modern office procedures, systems and equipment such as typewriters, calculators, and word processors. Strong knowledge of word processing, e-mail, spreadsheets, electronic file management, the internet, and reporting and presentation software. Knowledge in maintaining confidentiality of information of a sensitive and confidential nature. Ability to type clear copy at the minimum required rate. Ability to create electronic reports and presentations, use the internet efficiently, communicate electronically via e-mail, and manage electronic data and files in an organized manner.
