This position is located at the Department of Mental Health, Patrick B. Harris Psychiatric Hospital, 130 SC-252, Anderson, SC 29621.
Responsibilities for the Administrative Assistant include but are not limited to:
As the Administrative Assistant I, under limited supervision, you will function as the Administrative Assistant and Office Manager for the Program Manager II (COO/Director of Administrative Services) at Patrick B. Harris Psychiatric Hospital.
Plans and coordinates the daily office functions for the Division of Administrative Services. Develops and/or implements recommendations focused on procedural improvements. Ensures appropriate liaison communication for the Director of Administrative Services, and other organizational components and individuals within the hospital. Maintains the daily calendar of the Director of Administrative Services, as necessary, to ensure continuity in operations. Assists the Director of Administrative Services in the preparation for surveys and audits by state, federal and other licensing or accrediting agencies. Assists the Office of the Hospital Director in preparation of surveys and audits as needed. Complies with all legal responsibilities and requirements. Screens telephone calls and uses judgement in forwarding telephone calls to appropriate staff. Reviews incoming correspondence to determine what should be processed personally and uses judgement to forward the remainder of correspondence, reports and documents through tickler system; develops, modifies and maintains filing system. Develops forms unique to a specific issue when appropriate for facility use. Monitors end dates for professional contract renewals and ensures professional contracts are updated for approval, corrected as needed, and filed accurately. Reconciles contract staff invoices and timesheets for processing of payments. Initiates the agenda and takes notes at meetings chaired by the Director, Administrative Services, afterwards composing minutes and distributing them in a timely manner. Types from handwritten notes and transcribes in a wide variety of formats. Updates the Administrative Services’ copy of the HPH Policy and Procedure manual with new/revised policies.
Updates Yodeck, our internal video monitor platform, with announcements and relevant content for staff. Assists the Office of Hospital Director in the absence of the Administrative Assistant as needed with taking minutes of meetings and composing the minutes, retrieving the mail, distributing reports, and reconciling assigned time-keeping records.
Maintains clinical competency by mastering required mandatory and non-mandatory in-services or training, such as MAPS/MANDT, CPR, and SCEIS Modules. Performs other related duties and special projects upon request by the Director of Administrative Services. Minimum and Additional Requirements
State Minimum Requirements:
A high school diploma and work experience that is directly related to the area of employment. A bachelor’s degree may be substituted for the related work experience.

Minimum Requirements:
A bachelor’s degree and one (1) year responsible clerical or administrative experience; or high school graduation and five (5) years’ responsible clerical or administrative experience.

Preferred Qualifications
Bilingual abilities in English and Spanish (or another language) are a plus.
Additional Comments
The selected applicant must be able to stand, walk, sit for long periods of time. Must be able to use office equipment and computer, stoop, bend, push, pull, and must be able to walk up 2 to 3 flights of stairs. Must be able to lift up to 50 pounds.
