Front Office Coordinator 2.5 2.5 out of 5 stars Hilton Head Island, SC 29926 We are currently looking for a high energy, organized, and self-motivated Front Office Coordinator. Our team of over 55 associates work globally in both the residential and hospitality sectors. Our ideal candidate should possess strong organizational skills, excellent communication abilities, effectively manage multiple initiatives, and a customer service-oriented mindset to effectively represent the company and support its daily operations. This position is full time, onsite, and will work with our team on Hilton Head Island, SC. Monday – Friday, 9:00 am – 5:00 pm.

Summary:

The ideal candidate will serve as the first point of contact for visitors and callers, ensuring a positive and professional experience. This role involves maintaining the company calendar, supporting various departments, and ensuring that office operations run smoothly.

Responsibilities:

Answer the telephone and direct calls as required with proactive, professional customer service Maintain company calendar noting staff out of office times, holidays and company events, and being aware of staff absences in order to appropriately direct phone calls Update the company contacts database with up-to-date and accurate data for names, addresses, phone numbers, email accounts, and categories Post daily welcome sign for planned visitor, client, and vendor visits Open and deliver all incoming mail and memos Schedule conference rooms and company vehicles as requested and update the conference room calendar accordingly Assist and backup Studio Coordinator with rep appointments and related food disbursement/cleanup Keep phone extension, cell phone directory, and occupancy logs updated and distribute as needed Train new employees on copier, phone operations, voicemail, and desk set up Maintain office supplies and keep the copy room neat, tidy, and well stocked Maintain kitchen supplies and keep it neat, tidy, and well stocked Manage equipment maintenance in kitchen and copy room Update the staff bulletin board in kitchen Assist the designers and support staff with binders, cut sheets, light bulb orders, the upcoming installation schedule, market events spreadsheet for each market, and other tasks as directed. Assist with internal Hospitality events such as birthday luncheons, bridal showers, anniversaries, baby showers, review kick off and holiday parties/lunches Responsible for keeping client keys secure – including maintaining, tracking, and distributing procedures Assist in preparing for the monthly staff meeting and compile and distribute meeting minutes Maintain a neat, business-like appearance Tactfully handle client challenges Be punctual in attendance and dependable in performance Assist the management team with administrative tasks, as assigned Work within the company culture, adhering to company policies and procedures and professionally representing the Company. Additional duties as assigned Education and experience include: High school diploma required Bachelor’s Degree preferred One year of related experience in a customer facing role. Proficient in Microsoft Office such as Outlook, Microsoft Word, Excel, and PowerPoint Ability to quickly learn other relevant software such as Trello, Trainual and Epicor Knowledge of phone systems, emails, and scheduling tools. Ability to build and maintain positive relationships with clients and team members. This position requires a high level of organization and attention to detail. The ability to handle multiple tasks simultaneously and maintain a professional demeanor is essential.
