The Church Secretary or Administrative Assistant is responsible for the administrative and clerical aspects of the church, working closely with the pastor, staff, ministry leaders and volunteers, and external parties. This role serves as a vital support system to ensure the smooth operation of the church while embodying professionalism and the church’s values. The individual must demonstrate a strong and unwavering Christian faith, reflecting the church’s mission in their work and interactions, and the ability to manage multiple tasks effectively.
Responsibilities:
1. Representing the
Church :
o Fosters a friendly environment and represents the church professionally. o Maintains a Christian lifestyle with good standing in their home church and demonstrates strong faith in all aspects of their role. 2.
Communication :
o Answers phone calls, emails, manages mail, and greets visitors. o Serves as the first point of contact for guests and members, providing assistance as needed. 3.
Record Keeping :
o Maintain church files and databases, ensuring all information is accurate and up to date. 4.
Event Coordination :
o Managing the church calendar, scheduling events, and preparing materials for meetings or services. o Prepare documentation for business meetings, including financial records. 5.
Bulletins and Publication :
o Creates and distributes correspondence, and other documents for services and church operations. o Preparing weekly bulletins, monthly newsletters, and other church-related publications. 6.
Financial Tasks :
o Records and maintains financial data, including annual contribution statements. o Prepare financial summary reports as needed. o Utilizes church financial systems, such as ACS, with demonstrated proficiency. 7.
Compliance :
o Ensures the church complies with state and federal regulations, including tax reporting. 8.
Technology Skills :
o Demonstrates strong computer skills and proficiency in Microsoft Office and other applications. 9.
Collaboration :
o Is a self-starter who works independently while maintaining the ability to collaborate with a variety of personalities. 10.
Confidentiality :
o Handling sensitive information with discretion and professionalism.
Qualifications:
Strong Christian faith and commitment to the church’s mission. Strong administrative skills with experience in office management practices. Proficient in using Microsoft Office applications for various clerical tasks. Excellent typing skills with a focus on accuracy and efficiency. Familiarity with filing systems and computerized record management. Strong proofreading skills to ensure all written communications are professional and error-free. High school diploma or GED equivalent. Minimum of two years of clerical or administrative experience in a church office position. Experience with church financial systems (e.g., ACS) is preferred.
