Role Overview:
CON-OPS Administrative Assistant As a CON-OPS Administrative Assistant at United Infrastructure Group (UIG), you will serve as the central point of contact for administrative support at the project level, working closely with partner companies on a tri-venture project. You will support construction leadership, payroll, and recruiting functions to ensure smooth project execution. This role requires adaptability, confidentiality, and the ability to thrive in a fast-paced, collaborative construction environment. Typical Duties include but are not limited to: Provide direct administrative support to the Area Manager and Construction Manager. Assist in coordinating daily site operations and maintaining communication between UIG and partnering companies on the tri-venture project. Collect and organize timesheets, verify crew hours, and assist Payroll with accurate and timely submission. Support Recruiting with new hire onboarding. Manage and update crew rosters and project personnel lists. Assist in scheduling project meetings, preparing agendas, and recording and distributing meeting minutes. Maintain organized electronic and physical filing systems for project records. Order and track office supplies and site inventory. Answer and route calls, direct visitors, and support general site office needs. Help coordinate logistics for jobsite events, trainings, and leadership visits. Respond to requests from HR, Safety, and Con-Ops teams, and help track employee attendance and site documentation. Support onboarding walk-ins. Enter project data, code invoices, and run errands to support field staff and office operations. Provide backup administrative support in case of staff absences and maintain a professional and confidential approach to all tasks. Other Duties as Assigned.
Skills, Knowledge, Qualifications & Experience:
High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred. A minimum of 3 years of administrative assistant experience, preferably in a construction or project-based environment. Knowledge of appropriate software including Microsoft Word, Excel, Outlook, and experience with BirdDog and COINS Systems is preferred. Strong organizational skills and attention to detail. Ability to multitask and prioritize tasks in a fast-paced environment. Excellent communication and interpersonal skills. Ability to handle sensitive information with discretion and maintain confidentiality at all times.
Physical Requirements:
Periods of sitting at a desk and working on a computer – administrative duties Must be able to lift up to 20 pounds at a time. Occasional visits to project sites may be required.
REQUIREMENTS
ALL Applicants must be: 18 years of Age Able to pass a Drug Test Legally Eligible to Work in the US Must have reliable transportation to and from jobsite every workday (driver’s license preferred) Willingness to travel for project requirements, including overnight stays, to support various project sites.
