Full Job Description Job Summary:

We are seeking a highly organized and detail-oriented Plumbing Administrative Assistant to support our plumbing operations team. The ideal candidate will play a critical role in ensuring the smooth day-to-day administrative functions of our office, including customer communication, scheduling, invoicing, and coordination between technicians and clients.

Key Responsibilities:

Answer incoming calls and respond to customer inquiries in a professional and timely manner. Schedule plumbing service appointments and dispatch technicians using service software. Maintain accurate records of work orders, customer data, and service history. Assist with estimating, invoicing, and processing payments. Coordinate with field staff to track job progress and update clients as needed. Order materials, manage inventory logs, and track deliveries. Prepare and file permits, inspections, and job completion documentation. Maintain office supplies and ensure general administrative upkeep. Support the management team with reporting, timekeeping, and other administrative tasks.

Requirements:

High school diploma or equivalent (Associate’s or Bachelor’s degree a plus). 2+ years of administrative experience, preferably in the construction or trades industry. Strong organizational and multitasking skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with scheduling software (e.g., ServiceTitan, Housecall Pro, Jobber or similar) preferred. Excellent verbal and written communication skills. Familiarity with plumbing terminology and workflow is a plus.

Working Conditions:

Office-based environment with regular hours Monday to Friday (occasional weekend/on-call support may be required). Must be able to sit for extended periods and lift office materials (up to 25 lbs).
