Position Summary:
The Foundation Coordinator plays a critical role in ensuring the efficient and effective daily operations of The Chapman Foundation, Inc. This position provides comprehensive administrative and programmatic support, with a primary focus on the scholarship application and processing. The Foundation Coordinator will be responsible for meticulous organization, strong communication with board members and partners, and proactive management of all associated email accounts. The ideal candidate is highly organized, detail-oriented, tech-savvy, and possesses a genuine commitment to educational philanthropy.
Responsibilities Scholarship Program Management:
Manage the entire scholarship application process from start to finish, including receiving, organizing, and reviewing applications. Ensure all required documentation (transcripts, letters of recommendation, acceptance letters) is collected and properly filed. Process scholarship awards and ensure timely distribution of funds to recipients. Maintain accurate and confidential records of all applicants and scholarship recipients. Communicate clearly and professionally with scholarship applicants and recipients regarding application status, requirements, and award details.
Administrative Support:
Manage and maintain executive calendars, schedule meetings, and coordinate appointments for the Foundation. Prepare and edit correspondence, reports, presentations, and other documents for board members and partners. Organize and maintain accurate digital and physical filing systems for all Foundation activities. Handle incoming and outgoing communications, including phone calls, and mail. Crucially, check and manage emails for all Chapman Foundation accounts, Nirvana Cultural Center, and Brainstorm Studios, ensuring timely responses and proper routing of information. Order and manage office supplies, ensuring efficient inventory. Assist with general office management and maintain a professional work environment.
Board and Partner Relations:
Relay critical information, updates, and reports to board members and external partners in a timely and professional manner. Assist in preparing materials for board meetings and committee meetings. Support communication and coordination with board members and key partners. Support for
Nirvana Cultural Center and Brainstorm Studios :
Provide administrative support and coordination for the activities of Nirvana Cultural Center and Brainstorm Studios as needed, ensuring their administrative needs are met within the Foundation’s oversight.
Required Qualifications:
Bachelor’s degree preferred; Associate’s degree or equivalent experience in an administrative support role within a non-profit, educational, or foundation setting. Exceptional organizational skills and a meticulous attention to detail, especially in managing applications and records. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential, with strong email management skills. Excellent written and verbal communication skills, with the ability to communicate professionally and effectively with diverse stakeholders, including students, parents, board members, and partners. Ability to manage multiple tasks and projects simultaneously, prioritize effectively, and meet deadlines in a fast-paced environment. Strong interpersonal skills and a positive, team-oriented attitude. Ability to work independently, take initiative, and exercise discretion and sound judgment. High level of integrity and ability to handle confidential information with discretion.
