Secretary to the Director of Accountability and Quality Assurance Department
Pay Grade and Range:
D (Rounded Range $37,000 – $63,000)
Position Summary:
We are seeking an energetic, proactive, highly-skilled professional with a sharp eye for detail, a passion for excellence, and the ability to build strong relationships and a positive culture. As the Secretary of Accountability and Quality Assurance you’ll serve as a key member of a high-performing department, providing advanced administrative, accountability, research, and analytical support that ensures organizational effectiveness. Key Responsibilities:
Administrative Support Leadership
: Provide organizational oversight, correspondence, schedule management, and workflow support for the department. Ensure seamless daily operations with a focus on efficiency, proactivity, and positivity.
Department Budget Monitoring & Reconciliation:
Conduct regular reviews of departmental budgets to track spending against allocations, identify variances, and ensure adherence to financial policies. Reconcile accounts on a monthly basis to maintain accurate records and prepare monthly budget reports for department director to facilitate informed financial decision-making.
Proactive Issue Resolution
: Anticipate and address emerging issues within administrative processes and departmental workflows before they escalate, implementing solutions independently.
Data Analytics & Quality Assurance
: Organize, maintain, and verify departmental records and reports, ensuring accuracy and integrity across all data, records, and report handling processes.
Research & Accountability Support
: Assist in preparing reports and presentations that leverage data insights to inform decision-making, with a focus on clarity,pliance, and accountability.
Positive & Engaging Team Support
: Build trust and foster a positive team culture with emotional intelligence and professional presence by balancing focus on tasks with sensitivity to team dynamics and fostering a positive and productive work environment.
Data Security & Compliance:
Enforce data security protocols and manage sensitive information, ensuring strict adherence to privacy laws and organizational data protection policies. Collaborate with IT and data security teams to safeguard department data assets.
Preferred Skills:
Bachelor’s degree in Business Administration, Analytics, or a related analytical field.
Experience with data visualization, project management, spreadsheets, presentation, and quality tools (e.g., Excel, Six Sigma, auditing).
Knowledge of budgets, procurement, and finance
Experience in a role requiring high adaptability, independent decision-making, and continuous process improvement.
Successful experience in a similar department or related role
Required Qualifications:
Associate’s degree
5+ years of successful experience in administrative, support or higher roles with a focus on data, research, analytics, data security.
High emotional intelligence, with an engaging and positive personality
Exceptional attention to detail, multitasking abilities, and independent problem-solving skills
Proficiency in the knowledge and use of Microsoft Office – Word, Excel, PowerPoint, Outlook, Google apps, accounting software, and be eager and quick to learn otherputer software packages
Exemplary relationship, engagement, and team-building skills
Excellent organizational skills with attention to detail
Self-motivated, responsible, and dependable
Works well under pressure and within tight timelines
Ability to multi-task in a varied and demanding office environment
Ability to be flexible with constant change, ability to make professional decisions quickly, as needed
Ability to prepare technical documents/reports from inception or draft
Exceptional customer-focused skills
Must provide excellent, friendly, helpful, and professionalmunications (oral, listening, and written)
Manage correspondence, agendas, meetings, schedules, appointments, travel, etc.
Organize and manage daily tasks associated with multiple projects, employee support, report monitoring and preparation
Able to handle volumes of different tasks
Possess and utilize problem-solving skills and process improvement skills
Maintain an accurate, current andplete filing, record keeping system
Maintain accurate and current, calendar, payroll, accounting; prepare and process requisitions; redirect and /or resolve billing and accounting issues with vendors
Maintain inventory of materials; and order materials, as needed
Respect and maintain confidentiality
Provide effective information management support including materials and reports
Respond to problems or concerns to the client’s satisfaction
Continually study and learn how to better and more efficiently serve our team and clients
