Position Description Advertised Job Summary The Darla Moore School of Business Undergraduate Advisement Offices invites applications for a full-time Administrative Specialist II position. The position serves as an initial contact with students, faculty, staff, and other visitors at the Darla Moore School of Business Undergraduate Advisement Office. Under general supervision, the Administrative Specialist will provide support for the front desk reception area operations including answering phones, monitoring mail and email, providing administrative forms upon request, and accessing electronic student folders. The Administrative Specialist will assist with monitoring and designating assignments for student assistants, as well as quality review of these assignments. Job Related Minimum Required Education and Experience Typically holds a high school diploma or GED. Requires 1 or more years of job related experience. Required Certification, Licensure/Other Credentials Preferred Qualifications Knowledge of USC policies and procedures is desired. Knowledge of student management systems EAB Navigate360 and Banner Self Service Carolina is preferred. Knowledge/Skills/Abilities Proficiency in Microsoft Office suite, primarily Word, Excel, Outlook, and OneNote; knowledge of Adobe Acrobat. Must be able to communicate effectively and courteously, have ability to prioritize and be a good team member. Ability to plan and organize work activities, flexibility, and operate independently with minimal supervision. Job Duties Job Duty Serve as an initial contact with students, parents, faculty, staff, and other visitors to the DMSB Undergraduate Office. Under general supervision, provide support for front desk reception area operations including answering phones, monitoring mail and email, providing administrative forms upon request, and accessing electronic student folders. Provide assistance for various student management systems and appointment processes. Assist with monitoring and designating assignments for student assistants, as well as quality review of these assignments. Essential Function Yes Percentage of Time 60 Job Duty Assist with creating, scanning, and organizing approximately 6000 electronic student files and documents. Essential Function Yes Percentage of Time 15 Job Duty Assist with daily management and organization of office operations, supplies, and equipment. Assist office in planning and executing internal office meetings and events both on and off campus including booking meeting rooms, travel, catering and other needs. Ensure lobby area is clean, organized, and ready for students and other visitors. Perform other essential functions as necessary. Essential Function Yes Percentage of Time 15 Job Duty Serves as contact to University Center, DMSB Ambassadors, and other event staff. Monitor upcoming DMSB academic information sessions, which includes designating the venues based on crowd size and distributing informational material to visiting parents and students. Assist as needed with Summer Orientation and events sponsored by USC Admissions Office.
