Position Description Advertised Job Summary The individual will perform independently a variety of administrative duties for the department’s Graduate Director. Will be knowledgeable of the calendar of activities; anticipate and prepare for deadlines and surges in workload. Will be expected to make independent decisions as required concerning the operations of the Graduate Director’s office and serve as principal liaison between the Graduate Director, graduate students, applicants and Graduate School staff. Job Related Minimum Required Education and Experience Requires a bachelor’s degree in a job related field and no prior work experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience. Required Certification, Licensure/Other Credentials Preferred Qualifications Masters degree in Student Personnel Services or related field, or Bachelor’s degree and 2 years related experience which may be substituted by equivalent combination of certification, training, education and/or experience. Knowledge/Skills/Abilities Must have excellent verbal skills and maintain a cordial and friendly manner. Must be able to establish a courteous and helpful relationship with the public, especially students, parents, and faculty. Prepare and mail application packets to prospective applicants. Schedule and coordinate graduate orientation. Prepare graduate bulletin updates. Handle graduate student emergencies (illness, missed classes, payroll errors, registration errors, Graduate School processes). Duplicate/distribute graduate student teaching evaluations. Essential Function Yes Percentage of Time 15 Job Duty Maintain filing system for graduate student records. Design and maintain spreadsheets for financial records, teaching records and other records as needed. Serves as backup to the undergraduate program administrator in handling copy requests, scanning, faxing documents, reserving classroom and conference space. Assist Business Manager with handling maintance requests in faculty and graduate student offices. Close down office each evening. Essential Function Yes Percentage of Time 10 Job Duty Provide assistance and guidance to the department’s faculty, staff and students to ensure compliance with federal, state, and university policies and procedures.
