Full Job Description General Nature of Work:

The Program Support Specialist provides administrative, logistical, and operational support to the Property Asset Manager. This role involves outreach, training coordination, internal communications, and customer service. The specialist plays a critical role in ensuring the efficient operation of the Property and Asset Department, with attention to detail, professionalism, and service delivery.

Key Responsibilities:

Administrative & Clerical Support Provide day-to-day administrative assistance, including answering phones, managing calendars, and responding to referrals. Support the preparation and cleanup of meeting and training areas. Maintain organized filing systems and ensure accountability of records. Order and track office and training supplies; maintain a supply inventory. Assist with various administrative projects and tasks as assigned. Maintain and regularly update a stakeholder, customer, and partner database. Deliver excellent customer service both in person and via telephone. Program Support & Compliance Ensure compliance with all agency policies, procedures, and reporting requirements. Perform additional duties as necessary to support program outcomes. Reporting & Record-Keeping Maintain comprehensive records for properties, assets, and vehicles. Prepare regular reports for management on asset status, maintenance schedules, and budget considerations. Support audit preparation by maintaining compliant and up-to-date documentation. Vehicle Maintenance & Inventory Control Assist the Property Asset Manager in overseeing SCACAP’s vehicle to ensure roadworthiness and regulatory compliance. Schedule and coordinate vehicle maintenance, particularly for program site visits, including Head Start centers. Maintain accurate records, including titles, insurance, registrations, and service logs. Track fuel usage, mileage, and maintenance expenses to ensure cost-effectiveness. Ensure all vehicles have emergency and safety supplies and staff follow safety protocols.

Knowledge, Skills, and Abilities:

Familiarity with nonprofit or community-based organizational operations. Understanding of organizational structure and government or social service protocols. Strong ability to interpret and apply policies, rules, and regulations. Excellent verbal and written communication skills, including public interaction. Computer literacy and proficiency in standard office software. Ability to maintain and analyze databases and prepare professional reports. Capable of making oral presentations and supporting training functions.

Minimum Requirements:

Bachelor’s degree preferred in Human Services, Business Administration, or a related field. Equivalent relevant experience may be considered instead of a degree.
