Full Job Description Description:

The Southern Way Administrative Assistant will assist the on-premise My Carolina Alumni Center events. This role is critical in the organization and execution of all events. It is important that this individual understand the mission and values of Southern Way Catering, and be its biggest advocate to all potential and current clients. Responsibilities to

Include:

Administrative duties to include but not limited to: answering phones, data entry, and helping with sending out “two week email” to clients Welcoming visitors by greeting them, in person or on the telephone: Assist in setting up appointments with Event Coordinators Ability to enter in all information into the catering software (Total Party Planner) as well as Venue software (Ungerboeck), providing as much detail as possible from notes provided by Event Coordinators Help to follow up on any “missing pieces” for each event Assist in updating amounts in TPP for rentals and food amounts when needed by Event Coordinator Reviewing 3 weeks out in Ungerboeck to ensure details have been entered/updated on current contracted events Prior to the 2nd week printing, ensure all entries have menus, timeline, and layouts completed. Assist in the operations of the on-site events (when necessary) – ensure proper set up of room, beverage service set, staff is in place and help to oversee the full operation of the event. May include but not limited to functioning as Conference Room Catering Event Staff for events identified my Hospitality Director. Help with obtaining quotes for outsourced items as instructed by Event Coordinators Anything additional deemed necessary by management
