GENERAL STATEMENT OF JOB
Under general supervision performs an assortment of administrative responsibilities which include attending meetings, preparing minutes, generating reports and correspondence, maintaining appropriate Drinking Water Treatment (DWT) departmental files, and all relevant records. Also performs various duties such as handling all telephone communications, and greeting and receiving all visitors to the Department in a courteous and professional manner. Ensures compliance reporting, with various programs, is timely submitted. Prepares daily attendance for departments and provides personnel assistance to DWT, Watershed Management, and DWT Above Ground Maintenance (AGM) staff. Reports to the Drinking Water Treatment Manager.
SPECIFIC DUTIES AND RESPONSIBILITIES 1.
Compiles, computes and maintains department personnel files, reports, organizational board notices and safety training files for the Drinking Water Treatment (DWT) department. 2. Generates and distributes minutes as assigned for operational and taskforce meetings, such as the bi-weekly staff meeting, Water Quality Task Force, quarterly Strategic Planning updates, etc. 3. Prepares and processes requisitions accurately, delivers information for processing, distributes to Inventory Control, and tracks items ordered. Properly codes emergency procurement invoices, depreciation items, and packing slip documents for accurate operational budget accounting practices. 4. Prepares administrative reports and correspondence; enters computer data, types letters, memos and other documents for department staff; assists and prepares yearly inventory books and annual line item operational budget documents. Also assists with annual depreciation budget items for DWT. 5. Maintains petty cash, coordinates all reimbursements for staff members with respect to approved out of pocket expenses. 6. Coordinates outside maintenance and janitorial services as required. 7. Coordinates Pavilion #1 rentals including cleaning, key distribution, maintenance activity checklists, deposit refund inspection forms and schedules visits for prospective renters. Maintains Rental Agreement Calendar and informs operations staff of new rentals as necessary. Sends post rental inspection forms to Main Office for further processing of deposit refunds. 1 8. Exchanges mail from the main office; accepts deliveries, processes packages for mailing and distributes as necessary. 9. Receives, routes telephone calls, takes and relays messages, operates paging system and two way radio. 10. Inventories and orders office supplies. 11. Facilitates departmental information for the Pipeline Newsletter, and sends to the appropriate editor. 12. Maintains department calendar. 13. Greets visitors, ensures proper visitor sign-in, answers questions, monitors security cameras, including gates, and directs visitors to appropriate staff as applicable. 14. Prepares Monthly Operating Report and Bacteriological Report Summaries, for on-time mailing to SCDHEC. Generates duplicates of Monthly Operating Reports for distribution to applicable Spartanburg Water Leadership roles within the organization. Likewise, prepares applicable cover letters for relevant regulatory compliance reporting. 15.
