Administrative Assistant ATA Employment Solutions Nashville, TN 37215 Overview • On-site Position located in the Green Hills area •We are seeking a competent and extremely professional Administrative/Executive Assistant to join our team in a full-time, on-site role supporting the operations of a dynamic real estate company. This position demands a strong working knowledge of accounting principles, insurance procedures, and banking transactions, along with outstanding communication and organizational skills. The role includes regular interaction with the company’s CPA, insurance agents, bankers, and other outsourced professional advisors and requires a strong sense of confidentiality, accuracy, and discretion. Key Responsibilities Provide comprehensive administrative support to the company’s leadership and real estate operations team. Work on-site daily to ensure smooth office functions, support client interactions, and handle confidential documents securely. Manage accounting and bookkeeping tasks through QuickBooks and/or other systems, including A/R, A/P, reconciliations, and financial tracking. Prepare and organize documentation for the company’s external CPA, including monthly reports, tax records, and reconciliations. Coordinate banking activities, including deposits, wires, and bank account maintenance, following company policy. Assist in managing insurance policies for properties and business operations; handle renewals, claims, and liaise with brokers. Maintain professional communication with external advisors, vendors, clients, and internal stakeholders. Draft and proofread correspondence, contracts, financial summaries, and internal reports. Maintain accurate digital and physical records in compliance with Tennessee recordkeeping and employment laws. Support real estate transactions, file management, and compliance tasks such as licensure verification and document deadlines. Assist in internal policy updates and communicate procedural changes as directed. Qualifications High School Diploma or Equivalent; Bachelor’s Degree Preferred , banking, or insurance. Proficient in QuickBooks and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Strong understanding of basic accounting principles, insurance processes, and banking transactions. Proven ability to manage confidential information, contracts, and sensitive financial data. Excellent written and verbal communication skills—must represent the company professionally at all times. Ability to communicate clearly and professionally with outsourced service providers (e.g., CPA, legal counsel, insurance brokers). Detail-oriented with excellent organizational and time management skills. Preferred Qualifications Previous experience in a Tennessee-based real estate office or working with real estate documents. Familiarity with transaction management platforms (e.g., Dotloop, Buildium, AppFolio). Working knowledge of Tennessee-specific insurance and banking procedures. Notary Public certification is a plus. Work Requirements On-site presence is mandatory; remote or hybrid work is not available for this position. Must maintain strict confidentiality and demonstrate professional discretion at all times. May occasionally be asked to run local errands for banking or document purposes.
