This position is vital to the community experience as the school’s primary point of contact for guests, faculty, staff, and students creating a welcoming and collaborative environment. The Community Lead has strong customer service and communications skills and an ability to solve problems effectively and efficiently. This in-person position reports directly to the Operations Manager, and the role assists with daily operations and supports Law community general administrative and operational needs to accomplishing their mission and service goals. Vanderbilt Law School’s national reputation has its basis in our rigorous academic program, which is developed and delivered by our faculty of top legal scholars. The Finance and Operations Administration Department supports the Law School in the areas of human resources, finance, administration, and operations.

Key Responsibilities:

Serve as the Community Lead. Assists in monitoring building front entrance during set business hours, Monday to Friday. Assists with guest access and wayfinding for events during normal business hours. Provide daily reports to the Facility Coordinator and Operations Manager. Be visible and observant at all times, greeting and directing guests, visitors, faculty, staff, and students with welcoming and atentive manner. Build relationships with Law community to facilitate a sense of community. Keeps the front desk clean and organized. Answers the main phone line and directs the inquiries to the appropriate departments, staff, or faculty. May answer phone lines from other departments to direct and respond to inquiries as appropriate. Answers questions from Law community and guests related to the building including wayfinding, policies and procedures, community etiquete, etc. Advises and assists Law community with operational and facilities questions working closely with the Operations Manager. Monitor and intercept traffic into the Student Life/Career Services suite when needed. May supervise part-time students assigned to cover the main law school front desk and/or the Student Life/Career Services front desk. Assist with managing inventory and supply orders for the Law community, including routine office and course supplies. Serve as back-up to the Mailroom Manager. o Replenishes printing supplies in copy rooms, stocks printers in copy rooms, assists faculty and staff with printing projects as needed, troubleshoots and places maintenance calls. o Receives, distributes, and sends mail and packages, including USPS, FedEx, and UPS. Maintains faculty and departmental mailboxes. o Notifies Law faculty or staff members of any food or supplies deliveries. As requested, and in consultation with the Operations Manager or others, assist various other departments with fulfilling other ad hoc assignments.

Supervisory Relationships:

This position may supervise part-time student workers. The position reports administratively and functionally to the Operations Manager.

Qualifications:

A two-year degree is preferred but not required . Service-oriented with a minimum of 1-2 years of experience working in security, customer service, sales, or academic setting is necessary . Law or security enforcement experience is preferred . Excellent interpersonal, relationship building, and communication skills are required . Detail oriented and organized with the ability to manage multiple projects and deadlines is required . Positive, collaborative, and engaged self-starter that thrives in customer interactions is required . Innovative, friendly, and positive personality enjoys learning and problem-solving is required . Skilled in general Microsoft Office software including Word, Excel, and PowerPoint is required .
