This position is the first impression someone receives upon visiting RevSpring and requires a friendly, professional approach to our customers, vendors, and RevSpring employees. Additionally, this position provides overall administrative support to the office. It will require multi-tasking skills to perform a combination of routine, on-going tasks as well as requested projects by managers. This is a full-time on-site position in Nashville, TN.

Work Schedule:

Regular work hours are Monday through Friday, 8:00 a.m. – 5:00 p.m. with an occasional need to arrive earlier or stay late.

Essential Functions:

Receive and greet all visitors in a professional and warm manner
Maintain office security by following safety procedures, working with the building staff, and controlling access via the reception desk. This will include going to the lobby downstairs to meet guests.
Ensure the office area, conference rooms, and patio are tidy and presentable
Monitoring and ordering inventory for office and break room supplies
Set up and coordinate meetings as directed by management
Coordinate and send out company communications (e.g., monthly happenings at HQ, shout-outs, etc.)
Light vendor management coordination (e.g., Cintas)
Perform clerical duties including photocopying, mailing, and filing
Support management in assigned project-based work

Demonstrate initiative and reliability in supporting office operations
Contribute positively to team culture and office morale

Minimum Requirements:
Specific Job Skills:

Customer service attitude
Excellent written and verbal communication skills
Comfortable in Microsoft Office products (Word, Excel, PowerPoint, and Outlook)
Strong attention to detail and excellent organizational skills
Professional attitude and appearance
Multitasking and time management skills, with the ability to prioritize tasks
Remain positive in stressful situations
Treats all information, including confidential data, with discretion
Professionalism in answering incoming calls and managing customer contact
Ability to follow-up on projects or due dates AND complete tasks on-time with limited supervision
It is expected that meetings will run smoothly, with all necessary materials on hand
Ability to ask questions as it relates to tasks to keep projects on schedule
Ability to turn work around in a timely fashion
The ability to perform job functions with little or no errors
Proofread work and ensure accuracy based on the information available

Education:

High school diploma; or equivalent

Experience:

2+ years of relevant administrative experience

Language Skills:

Ability to read and understand basic business communications such as emails, memos, and office policies. Able to write clearly and professionally in emails and other routine correspondence. Comfortable speaking with visitors, vendors, and employees courteously and professionally.
