This is an entry-level role that directly reports to the Director of Operations and Finance but also provides administrative support for the Operations and Procurement teams. This position is a part of a team that serves as the hub of the business and provides a vital link between vendors, shippers, customers, technicians and internal company operations.
Performance Expectations:
- Receive inbound customer calls, gather pertinent information and route the information to the appropriate resource (sales, technical, vendor management, etc.).
- Manage technology across all territories, to include coordinating repair and replacement as needed, tech support, and maintaining login information for all devices as directed.
- Coordinate all on-boarding and new hire activities, including background checks, ordering uniforms, and entry into payroll system. Coordinate with field operations manager to ensure tools are ordered and finance to ensure that credit cards are ordered.
- Support Operations team by scheduling, coordinating and handling logistics for fleet vehicle service and cleaning as directed.
- Maintain office supplies for all personnel and keep office area and restroom clean.
- Receive deliveries and daily mail.
- Process weekly accounts payable and daily accounts receivable with the assistance of supervisor.
- Support Operations team by creating work orders, assigning work orders, calling customers to confirm parts deliveries and schedule service work as directed.
- Support Operations team with invoicing in QuickBooks Online; Maintain 30-day AR average through weekly collections contacts as directed.
- Receive completed work orders after projects have been completed, audit inspection reports for typographical error and completeness, and either invoice for the work or coordinate the appropriate activity if the work order has not been completed as directed.
- Other administrative, coordination and support activities as required.
Experience Requirements:
- Associates degree or higher preferred.
- Minimum of 2 years in administrative support role required. Other relevant experience will be considered on a case-by-case basis.
- Must have strong time management and organizational skills.
- Proficiency in Microsoft Word and Excel required; experience in QuickBooks Online preferred.
- Experience in construction, maintenance or similar service industry preferred.
- Must have a valid driver’s license and be able to pass a drug test and background check.
