Office Administrative Assistant Clear Choice Realty Parsons, TN 38363 Job Overview We are seeking a detail-oriented and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. This position requires strong organizational skills, proficiency in Google Workspace products, Canva, QuickBooks, & other web based software as well as a commitment to providing excellent customer service and an eye for details. The Office Administrator will serve as the first point of contact for clients and visitors, making a positive impression while efficiently handling office duties. Duties Manage office operations, including maintaining filing systems and organizing documents. Provide exceptional customer service by responding to inquiries via phone systems and email. Assist with calendar management, scheduling appointments, and coordinating meetings. Proofread documents to ensure accuracy and professionalism in all communications. Support team members with administrative tasks as needed, acting as a personal assistant when required. Utilize Google Workspace tools, Canva, QuickBooks, and other web based software to create, edit, and manage documents and spreadsheets. Maintain an organized office environment that promotes productivity and efficiency. Coordination of real estate transactions including tracking deadlines, resolving conflict, auditing files for completion, and communicating with clients, realtors, lenders, and title companies to ensure a smooth transaction. Experience Proven experience in an administrative role or similar position is preferred. Strong organizational skills with the ability to manage multiple tasks effectively. Proficiency in Canva and Google Workspace applications (Docs, Sheets, Drive) is essential. Familiarity with advertising, marketing, and social media management is advantageous. Excellent proofreading skills to ensure high-quality documentation. Prior experience in customer service or personal assistant roles is a plus.
