Reporting to and in partnership with the Executive Director (ED) and the Director of Happiness, the Administrative Assistant will support our efforts as Welcome Home seeks to build upon its first ten years of growth and create sustainable funding streams to under gird the organization’s next ten years. Welcome Home plans to continue this trajectory of growth to encompass a more holistic, longer-term community of care. This is a unique opportunity for someone who possesses a passion for Welcome Home’s mission. The ideal candidate will possess a passion for the mission and objectives of Welcome Home as well as demonstrate the ability to work independently, think critically, pay close attention to detail, and communicate well verbally and in writing. As a member of a small administrative team, you will be responsible for managing some daily operational tasks, helping to coordinate meetings and events, and assisting with fundraising tasks and donor correspondence. Your ability to manage change, take a proactive approach, and maintain a problem-solving mindset will be essential in ensuring our mission-driven work runs smoothly and efficiently. This full-time position, defined as working 32 hours per week, offers a competitive annual salary equivalent to $45,000. General Responsibilities:
Administrative Support for Executive Director and Director of Happiness Support Executive Director’s calendar, schedule meetings, travel, hotel and transportation accommodations, and expenses as requested. May also support the same for manager’s direct reports for a variety of requests. Proactively partner with manager for meeting preparation, developing Word, Power Point or Excel documents as needed as well as meeting room set up and catering needs, managing meeting notes and related communications. Assisting with event and Demystifying Death programming administration including promotions, speaker travel, payments, and transportation arrangements Offer support for Welcome Home board and volunteer committees Manage general documents such as the organization’s volunteer manual, policies and procedures, and insurance documentation Assist with accounts payable, general payroll, and managing partner contractors with additional review and research as needed. Provide support to manager and staff by coordinating department project(s), tracking against schedules, gathering information; may serve as contact for all questions related to projects. Assist with volunteer management (paperwork, checklists, orientation, communication, hour management/entry Miscellaneous support and other duties as assigned
Fundraising and Development Support:
Process monetary and in-kind donations and weekly donor acknowledgement letters Create development communications (such as gratitude letters) as requested Coordinate and contribute to the preparation of grant proposals and impact reports, ensuring timely submission and alignment with funder requirements Manage and schedule social media content across platforms, track engagement metrics, and collaborate with program staff to highlight organizational impact Support the planning and execution of organizational events, including celebrations and fundraisers, by coordinating logistics, communications, and vendor relations Collaborate with the fundraising committee to organize campaigns, track donor engagement, and ensure timely
