Administrative Assistant 4.1 4.1 out of 5 stars Knoxville, TN 37915 RK&K is committed to finding a dedicated and strong Administrative Assistant for our Construction Management Department in Knoxville, TN. In this role, you will provide task-oriented support for our projects and teams. You will be responsible for these essential functions: Essential Function Internal document control & document management support (training provided) Creating agendas and scheduling meetings, meeting preparation New employee onboarding and coordination w/ IT department Assist in gathering info for project setup Review of monthly contract invoices Project status report development and updates (from data provided by others) Review of staff timesheets and expense reports Fleet, Inspector mileage assistance/monitoring/auditing Enrolling staff in training and reserving accommodations Review proposals Assist with proposal close-out/data entry in Deltek Office/landlord communication, work orders Contact for department, events, fleet, etc. Phones, mail, shipping, greeting visitors Coordinate ordering coffee, office supplies, field equipment, etc. Follow up on open tasks Printer/Copier/IT communication and support Conference registration, airlines, hotels, etc. Required Skills and Experience Minimum five (5) years’ professional office administration experience Microsoft Word and Excel skills with working knowledge of other Microsoft Office products Ability to exercise sound judgment in managing confidential or sensitive information Excellent oral and written communication skills Excellent interpersonal and professional skills Ability to work in a fast-paced and demanding environment Excellent time management skills and ability to multi-task Highly organized and meticulous attention to detail Preferred Skills and Experience Experience working in an engineering or business setting Associates’ or Bachelor’s degree in a related field Other Duties Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
