POSITION SUMMARY
The Administrative Assistant will be responsible for assisting the Management with a number of various duties associated with Human Recourses, Accounting and Sales. In addition to other duties assigned by the General Manager and or Assistant General Manager for the smooth operations of the property.
DUTIES AND RESPONSIBILITIES
- To coordinate and / or conduct departmental training and conduct new hire hotel orientation program.
- Conduct needs analysis, develop, implement, and monitor training programs and materials. These would include but are not limited to annual training for all team members on Human Trafficking, Blood Borne Pathogens, First Aid-CPR-AED, and Sexual Harassment.
- Onboarding of all employees, providing them with Nametag, Handbook, Uniform.
- Ability to remain calm and courteous in demanding situations.
- Assist in developing and conducting management training on a variety of leadership and HR topics.
- Plan, coordinate and execute employee activities and events.
- Holiday activities calendar.
- Assists in the administration of the Hotel’s social and staff benefit programs
Eg:
Employee of the Month, Leader of the Month, and other staff incentives, and the Pin Program.
- Promote employee communication activities and channels (Nudge), to encourage and enable feedback from staff.
- Cash handling functions for the hotel and reconcile all cash dropped daily. Daily Tip out of the F&B staff from the F&B Drops. Petty Cash, Change Orders, prepare daily bank deposit and take to the bank. Weekly Packet drop off and pick up.
- Reconciles vendor statements, Expedia payments, Booking.com payments.
- Ensures hotel permits, licenses and if applicable vendor contracts are current.
- Performs other duties as assigned to meet business needs.
- Preparation of BEO- Banquet Event Orders and responsible to ensure they are issued and distributed in a timely fashion.
- Prepare all typed materials like proposals, contracts, change forms and all other inter-departmental forms accurately.
- Communicating client requirements in a timely and accurate manner to all internal departments as required, ensuring delivery of superior guest service.
- Ensure accurate follow up and communication both internally and to the guest / client.
- Ensure that INFOR HMS and the shared group calendar is updated daily for all event space bookings.
- Ensure that all accounts are properly updated in
INFOR HMS.
- Ensure feedback received from host / guests are passed on to all departments.
- Able to generate various reports from INFOR Sales and Catering and excel to track group and event revenue etc.
- Follow-up with Sales Manager to obtain/confirm all event-related information in a timely manner.
- Participate in weekly DBR review meeting, sales meetings and management meetings.
PREREQUISITES
- Strong organizational skills, with attention to details. Ability to compile facts and figures. Command of the English language both written and verbal.
- Proficiency with MS Office (Excel / Word) and experience with
PMS INFOR, M3
- Must be willing to work days, nights, holidays and weekends.
- Friendly, outgoing personality and professional appearance required.
- Strong verbal communication skills required with an understanding and ability to work in a multi-cultural environment.
- Be able to pass a background check and have no felony convictions
- Must be able to work under a high volume and handle stress in a positive way.
- Must be able to assist guests with complaints.
- Ability to work independently with little or no supervision.
