The Office Coordinator organizes and coordinates administrative duties and office procedures. The role is to create and maintain an efficient and comfortable work environment, ensuring high levels of organizational effectiveness, communication and safety. The Office Coordinator should ensure the smooth running of the office and help improve company administrative procedures and day-to-day operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Reception Manages the answering/transferring of incoming calls as needed. Opening/distributing incoming mail and processing outgoing mail. Greets/directs all visitors and non-visitors in lobby area. Coordinates scheduling and maintenance/cleanliness of all conference rooms for employees, clients, etc. Plans/organizes office events/luncheons in Memphis office such as client/employee breakfast and lunch meetings, and non-profit meetings (sometimes after hours). Building/Office Maintenance General building maintenance including opening and closing activities, alarm management, etc. Works with property management company on all building maintenance/repair issues. Coordinates all furniture requests to include new purchases, repairs and moves. Stocks kitchen/break room with all supplies to include ordering with coffee vendor, internal supply requests and grocery store trips when necessary. Makes sure the kitchen/break room is clean. Orders all other office supplies, as needed Maintain office equipment and work with Operations team for equipment returns Oversight Coordinates daily trips to the Post Office/UPS office for package drop-offs. Handles “as-needed” requests from Advisors, CAMS, PAMS for letters, documents, etc. Prepares reports for management as required. Performs other duties and projects as assigned.
REQUIREMENTS
High School Diploma or equivalent required Experience in office coordination/management is preferred Proficient in Microsoft Office Suite, must be comfortable with Excel Must be organized, enjoy problem solving, and possess excellent customer service skills and high level of integrity and dependability Ability or adaptability to work in fast-paced, multi-tasking environment
