JOB TITLE

Executive Secretary

SUMMARY:

Responsible for providing administrative services to the President and Senior Management. Performs a number of administrative/secretarial tasks, works under pressure, maintains strict confidentiality and delivers quality work with minimal supervision.

EDUCATION AND EXPERIENCE
Education:

High School Diploma/GED preferred.

Licensure:

Experience:

Experience in providing secretarial and other administrative support services for senior management/chief executive officer level staff preferred.

Knowledge/Skills:

Knowledgeable of office machines and general office procedures. Skilled in use Word, PowerPoint, Adobe Professional, Visio. Excellent verbal/written communication skills.

EQUIPMENT

Computer, fax, copier and any other equipment required to perform the functions of the position.

MAJOR DUTIES AND RESPONSIBILITIES

1. Responsible for screening of phone calls directed to the President/Senior Management.
2. Responsible for scheduling meetings as requested by the President/Senior Management.
3. Performs other related duties (greeting visitors, correspondence with outside groups, agencies or individuals, making travel arrangements, etc.), as needed.
4. Arranges Board of Directors and related Committee meetings; attends and keeps minutes.
5. Plans annual Christmas Board event.
6. Arranges Quality Council & Management Team meetings; attend and keep minutes.
7. Attends other administrative meetings and keep minutes.
8. Attends and participates in regularly scheduled staff meetings and in-services and individual program planning meetings, as needed.
9. Maintains and updates origination charts.
10. All other duties as assigned.
