Summary of Position:
The Administrative Assistant provides high-level administrative support to the Chief Executive Officer (CEO), Chief Operating Officer (COO), Chief Financial Officer (CFO), and Vice President of Human Resources (VP of HR). This position is responsible for providing a variety of administrative support services including tasks related to the Board of Directors. The Administrative Assistant serves as a representative of the Bank and must present a positive image to all customers, employees, Board Directors, and the community. This position has exposure to highly confidential information and requires a high level of tact and communication skills.
Primary Duties and Responsibilities:
Provide a wide range of administrative support including but not limited to: Assist in the planning and execution of special projects and initiatives led by the CEO, COO, CFO, and VP, HR, including tracking timelines and deliverables, ensuring deadlines are met. Prepare, edit, and format correspondence, reports, and presentations Screen and prioritize incoming communications and requests Maintain up-to-date contact lists and confidential records Assist with company-wide communications and internal and external events as needed Coordinate and prepare materials for Board of Directors and committee meetings Attend board meetings and accurately record meeting minutes Order and coordinate lunch for Board Meetings and other internal team meetings Ensure Board Room is stocked with beverages and snacks prior to Board and Committee meetings. Collect and distribute company mail Assist in prepare and edit, and format expense reimbursement reports Other duties as assigned
Education, Skills and Experience Requirements:
Associate or bachelor’s degree in business administration, communications, or related field preferred Minimum of 3 years of experience in an executive administrative support role in a professional environment, preferably in a financial institution. Exceptional written and verbal communication skills High level of professionalism, integrity, and discretion in handling confidential information Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Strong organizational and time-management skills with an ability to prioritize tasks Attention to detail and ability to anticipate executive needs Positive attitude, adaptable, and team-oriented
