Position Responsibilities:
As the Executive Assistant to the CEO and Office Manager, will be the backbone of support for the visionary leader. You’ll be comfortable ensuring his focus remains on strategic initiatives without being stressed by the details. This role requires a blend of exceptional caretaking skills and solid administrative capabilities, including comfort with technology. Proactively manage the CEO’s dynamic calendar, scheduling and prioritizing appointments, and resolving any conflicts to maximize productivity. Serve as a primary point of contact, effectively liaising between the CEO and various internal and external stakeholders. Handle email correspondence and phone calls on the CEO’s behalf, drafting responses and filtering communications with a warm and clear tone. Prepare comprehensive agendas and materials for important meetings, including internal and board sessions. Attend meetings as needed to capture key discussions and concisely summarize action items. Coordinate all travel arrangements and logistics, including detailed itineraries, accommodations, and transportation. Process expense reports and meticulously track receipts. Maintain highly confidential digital and physical files. Monitor ongoing projects and ensure all deadlines are met. Assist with personal tasks for the CEO, such as booking family travel, coordinating errands, and handling personal appointments and paperwork. Oversee office supplies and manage procurement as needed. Support basic facility maintenance and vendor coordination. Assist with planning and execution of occasional team events and celebrations. Help with workspace setup for new team members joining the office. To be a good fit for this opportunity, you will have: A true “caretaker” spirit, someone who anticipates needs and enjoys making a tangible difference in the day-to-day operations. 3+ years of experience as an Executive Assistant or in a similar high-trust administrative support role. A proven ability to work independently, exercise discretion, and maintain absolute confidentiality with sensitive information. Excellent written and verbal communication skills. Superior organizational skills with a strong eye for detail and a commitment to follow-through. Proficiency with Microsoft Office Suite (Word, Outlook Calendar are key) and a willingness to quickly learn new tools. While strong tech skills are a plus, we value a “not scared of technology” mindset over being a tech guru. A calm and composed demeanor under pressure, with a proactive, solutions-oriented approach.
