Office Manager We are seeking a skilled and highly organized Office Manager to oversee the day-to-day administrative operations and ensure the smooth functioning of the office while supporting business processes, client engagement, and compliance needs. The ideal candidate will excel in multitasking, possess strong communication and technical skills, and be comfortable managing both daily tasks and long-term projects.
Key Responsibilities:
Daily Tasks:
Open the office daily and manage incoming and outgoing mail. Serve as the primary point of contact for phone calls. Oversee scheduling for leadership and provide participant customer service. Coordinate travel arrangements as needed. Maintain leadership’s email inbox, organize print requests, and assist with correspondence. Act as the point of contact for bills, banking, licensing, retirement plan contributions (401k/Cash Balance Plan), and vehicle-related policies. Generate and manage new business leads. Take and distribute meeting notes for weekly meetings. Act as a building liaison and ensure office/building supplies are ordered and properly billed. Provide basic IT support for office operations. Assist team members with tasks such as plan sponsor interactions, filing, and administrative support. Ensure general office organization. Process payroll and retirement plan contributions twice a month. Coordinate and facilitate employee meetings and enrollment presentations. Manage special projects such as holiday gifting and publishing tasks for client outreach.
Requirements Skills and Qualifications:
Proven experience in office management, administrative support, or similar roles. Excellent organizational skills with keen attention to detail and ability to prioritize multiple tasks. Strong communication skills, both written and verbal, to interact with internal staff and external contacts. Familiarity with retirement plans, licensing processes, and compliance workflows is preferred. Tech-savvy with a hands-on approach to troubleshooting and problem-solving. Ability to work independently while maintaining a detail oriented, collaborative work environment.
