This role is pivotal to the success of our healthcare facility, working closely with the Director of Operations to foster a positive environment for both patients and staff.

Key Responsibilities:

Office Operations Management:

Oversee daily office operations to ensure efficient workflow, adherence to policies, and compliance with healthcare regulations. Manage staff schedules, approve PTO/timecards, and ensure appropriate staffing levels. Maintain office supplies, equipment, and inventory to ensure availability and functionality. Coordinate and lead staff meetings to promote collaboration and communication. •

Staff Supervision and Development:

Provide leadership and guidance to office staff, fostering a positive and collaborative work environment. Assist in recruiting, training, and supervising office personnel to ensure the team is well-equipped to meet the demands of the office. Conduct performance evaluations, offer constructive feedback, and identify opportunities for professional development. •

Patient Care and Customer Service:

Maintain high standards of patient care, service, and professionalism to ensure an exceptional patient experience. Address patient concerns and inquiries promptly, striving to exceed expectations. Collaborate with healthcare providers and staff to optimize patient flow and enhance overall patient satisfaction. •

Financial Management:

Monitor office expenses to ensure cost-effective operations. Work closely with the billing department to ensure accurate and timely collections. Implement strategies to maximize revenue generation and minimize financial risks. •

Compliance and Quality Assurance:

Ensure compliance with healthcare regulations such as HIPAA, OSHA, JCHAO, DMH, OBOT, and other applicable laws. Implement and monitor quality measures in collaboration with the Quality and Compliance Department to improve office processes and patient satisfaction. Review and implement company policies and procedures to maintain high standards of quality and compliance.

Qualifications:

Bachelor’s degree in healthcare administration, business management, or a related field (preferred). 3+ years of proven experience in medical office management or a similar administrative role. Strong knowledge of healthcare regulations, compliance requirements, and medical terminology. Excellent leadership, communication, and interpersonal skills. Proficient in office management software and electronic health records (EHR) systems. Exceptional organizational and problem-solving abilities. Ability to multitask, prioritize, and work well under pressure. Work Environment and Physical Demands Well-lit, climate-controlled office environment Primarily seated work with computer use Occasionally handle sealed urine samples with PPE Occasionally lift and carry up to 25 lbs

Compensation and Benefits Competitive Pay:

50K – 60K depending on experience
