OFFICE MANAGER QUALIFICATIONS
High school diploma Bachelor’s degree, or higher, in accounting/business, preferred Demonstrate competence in the use of business machines, and filing, checking, oral and written communication, and numerical skills Three years of business office experience required, experience within an Alabama school system, preferred Child Nutrition Program (CNP) State Certification or willingness to attain within three years of hire, preferred Such alternatives to the above qualifications as the Board may find appropriate
REPORTS TO
Chief School Financial Officer (CSFO)
PERFORMANCE RESPONSIBILITIES
Record details of financial transactions in appropriate journals and subsidiary ledgers from such sources as mail received, requisitions, payroll records, etc. Assist in the preparation of the annual departmental budget Assist with grant management procedures Oversee the function of providing technical support and assistance to all local school bookkeepers relating to the processing of accounting transactions, financial reporting, budget preparation, or other areas as approved by the CSFO Assist with year-end closing of open purchase orders and outstanding invoices Assist in processing free and reduced-price meal applications for the school system Assist with annual verification of free and reduced-price meal application Communicate with CNP specialist, school office designees, and Information Technology to ensure accuracy between enrollment system and school meal program Assist the CNP Director with monthly internal and meal reimbursement procedures Issue purchase orders, verify delivery and process invoices for payment of the CNP in accordance with our local policies and procedures Update computer files for payroll related changes Assist with quarterly and year-end tax filings Assist Human Resources process teacher certification applications and renewals Assist auditors for the purpose of providing supporting documentation and/or information on internal process required for audit Coordinate with the CSFO in preparing and verifying the accuracy of all reports required by the State Department of Education and the proper, timely submission of such reports Perform other tasks as assigned by the Superintendent or
