The Office Manager is an individual who serves as a medical clinic office manager for the out patient psychiatry clinic. This individual must exhibit and possess patience in a fast-paced medical practice, possess exceptional customer service skills, leadership skills and possess the ability to multitask and provide support and management over support staff and providers in a clinic setting. The chosen candidate should be an active listener and comfortable interacting in a positive manner with all ages of patients, family members, staff members and providers and referring providers and their staff members. They must be able to comply with and consistently follow established medical organization best practices, policies and procedures. Maintain office services by organizing office operations and procedures, controlling correspondence, designing systems, assigning, and monitoring clerical functions. Supervise and coordinate daily operations of the clinic, including scheduling, billing management, and patient registration processes. Completes operational requirements by scheduling and assigning employees and following up on work results. Keeps management informed by reviewing and streamlining office processes, summarizing productivity, identifying trends, and managing schedules. Monitor clinic expenses, budgets, and financial reports, identifying opportunities for improvement. Monitor and ensure clinic and staff have necessary resources by maintaining inventory and purchasing requirements. Partners with HR and Operational Leadership to maintain office policies as necessary. Coordinates with respective departments to ensure processes are followed and communicated. Manage provider schedules to ensure schedules are full to allow Providers to reach productivity goals and all patients are seen regularly. Address patient inquiries, concerns, and feedback in a timely and professional manner. Responsible for marketing the practice to enhance its visibility within the community Recruit, train, and evaluate office staff ensuring optimal performance and productivity. Ensure adherence to regulatory standards, licensing requirements, and accreditation guidelines. Responsible for other duties as assigned by leadership. Attendance at scheduled work shifts is an essential function of this role.
Requirements:
Education High School Diploma or Equivalent – Required Associate degree – preferred Experience 6 months experience working in healthcare administration, office management, or practice management preferably within a mental health or medical setting Qualifications Proficiency in using all Microsoft based applications, electronic health system software, general office equipment, such as printer, scanner, fax and payment acceptance software. Strong leadership, communication, and interpersonal skills Knowledge of healthcare regulations, compliance standards, and best practices.
