Summary The Office Manager/Administrative Assistant ensures the smooth operation of our fine jewelry store’s back-office functions. This role is essential in supporting our dynamic team through proactive communication, tracking orders and inventory, and maintaining accurate records. You will be the first point of contact for many clients and vendors and play a key role in ensuring an exceptional experience behind the scenes. Responsibilities ⦁ Be a team member while providing a warm and professional first impression. ⦁ Build strong rapport with vendors by maintaining clear, consistent communication about orders, parts, timelines, and billing. ⦁ Answer incoming phone calls, promptly directing clients to the appropriate oactively monitor and track due dates for parts, special orders, and custom jobs, alerting the appropriate team member if there are any delays. ⦁ Maintain accurate inventory of all office supplies and ensure the workspace is organized and well-stocked. ⦁ Pull the rapid reorder report weekly to ensure fast-selling items are reordered in a timely manner. ⦁ Create and share the spiff sheet each week with the designated team member to track and celebrate top sales performance. ⦁ Generate any additional reports requested by Kate Marks to support store operations and decision-making. ⦁ Receive, check, and properly store all incoming packages, confirming their accuracy and condition. ⦁ Package and send all outgoing packages, ensuring accurate tracking and delivery. ⦁ Provide general administrative support to the team, including data entry, record-keeping, and document management. ⦁ Assist with light bookkeeping or billing tasks as needed to support the overall office operation. ⦁ Maintain a tidy and welcoming office environment that aligns with the store’s luxury brand standards. Requirements Strong organizational skills with the ability to manage multiple tasks effectively. Excellent phone etiquette and communication skills, both verbal and written. Familiarity with office management systems and procedures is preferred.
