Must be able to pass a background check and drug screen. Workdays are Monday to Friday. Our company does “storm work” so if a hurricane comes through any of the surrounding areas (Florida, Georgia, NC/SC, Alabama) the hours could change.

Job Summary:

The Scale Operator / Office Administrator is responsible for the efficient operation of the facility’s weighing system and supporting administrative functions. This role involves operating and maintaining the scale for accurate weight measurements, as well as handling various office duties such as data entry, customer service, and supporting the smooth operation of the office environment.

Key Responsibilities:
Scale Operation:
Weighing and Recording:

Operate the scale to weigh incoming and outgoing materials (e.g., trucks, raw materials, products). Record weight data accurately, ensuring all transactions are logged properly for future reference or reporting. Ensure the scale is calibrated and maintained regularly to ensure accurate readings.

Weight Data Entry:

Enter weight data into the system and maintain logs for all transactions. Generate reports based on scale data as required by management.

Customer Interaction:

Interact with drivers and clients to facilitate the weighing process, ensuring smooth communication and understanding of the weighing requirements. Provide customer service by answering questions related to the weighing process and any other operational inquiries.

Office Administration:
Administrative Support:

Provide general office support, including answering phone calls, responding to emails, and handling routine inquiries. Perform filing, scanning, and data entry tasks to ensure the smooth running of office operations. Maintain accurate records and documentation for office operations, including inventory logs, safety reports, and administrative files.

Scheduling and Coordination:

Schedule appointments, meetings, and coordinate office operations to ensure deadlines and appointments are met. Assist in coordinating logistics and scheduling for the movement of materials or equipment.

Billing and Reporting:

Assist in generating and processing invoices for customers based on weighed materials and services rendered. Maintain financial records, track payments, and manage billing inquiries.

Inventory Management:

Help with tracking and ordering office supplies, ensuring that necessary resources are always available. Support in maintaining inventory logs and ensuring stock levels are properly recorded.

Safety and Compliance:

Ensure that all office operations and scale activities comply with company safety standards and local regulations. Assist in maintaining safety protocols in the office environment and coordinate with other departments as needed for compliance.

Additional Responsibilities:

Provide backup support for other administrative staff or scale operations as needed. Perform any additional tasks as directed by the supervisor or management team.

Qualifications:
Education:

High school diploma or equivalent required. Some college or certifications in office administration, logistics, or a related field is a plus.

Experience:

Previous experience operating a scale, handling data entry, or working in an office environment is preferred. Customer service experience is a plus.

Skills and Abilities:

Proficiency with office software, such as Microsoft Office Suite (Word, Excel, Outlook), and general office equipment (fax, copier, etc.). Strong attention to detail and accuracy, especially when handling scale data and administrative records. Ability to multitask, manage time effectively, and prioritize tasks. Strong verbal and written communication skills, with the ability to interact with clients and co-workers professionally. Good organizational skills and the ability to work independently or as part of a team.

Physical Requirements:

Ability to stand or sit for extended periods while operating the scale and performing office tasks. Ability to lift up to 30 pounds as necessary when handling documents or materials.

Working Conditions:

Office and outdoor environments, with exposure to varying weather conditions when operating the scale. Regular business hours, with occasional overtime required based on operational demands. May require weekend or holiday work depending on operational needs.
