Job Summary:

Seeking a highly organized, tech-savvy, and proactive Trilingual Office Manager & Operations Lead fluent in English, Spanish, and Haitian Creole to be the central hub of our Margate office. You will be the first impression for our diverse clientele, manage seamless office operations, coordinate communications across multiple channels, support virtual staff, and play a key role in our service delivery by learning the essentials of our tax and insurance processes. What You’ll Do (Responsibilities): Orchestrate all front office activities, ensuring a professional environment and delivering an outstanding client experience (in-person, phone,email) across English, Spanish, and Haitian Creole . Masterfully manage business communications across diverse channels: phone, email, text, WhatsApp, social media inquiries, and fax, acting as a primary point of contact in English, Spanish, and Haitian Creole . Handle inbound/outbound calls, appointment scheduling, client follow-ups, and information gathering with accuracy and professionalism. Maintain meticulous spreadsheets, client files (digital and physical), and business records. Create polished business documents, reports, and correspondence. Drive office organization, manage supplies, and proactively identify and implement workflow improvements for greater efficiency. Coordinate tasks and facilitate clear communication with our virtual support staff. Proficiently utilize Google Workspace and various business software platforms daily. Crucially, you will undergo paid training to become a Notary Public and learn the basics of tax preparation, bookkeeping, and health insurance. This knowledge is key to effectively assisting with various parts of these service processes and handling related client inquiries confidently in all required languages. Perform miscellaneous administrative tasks and projects as assigned to support office operations. What You Need (Required Qualifications): Absolute fluency (written and verbal) in English, Spanish, AND Haitian Creole is non-negotiable. Proven experience (e.g., 3+ years recommended) in a demanding Office Management, Operations Coordination, Senior Administrative, or similar role requiring significant multitasking. Demonstrated mastery of Google Workspace (Gmail, Calendar, Docs, Sheets are essential). Exceptional tech-savviness and digital fluency are critical. You must not only demonstrate mastery of Google Workspace but also possess the proven ability to quickly learn and efficiently operate multiple other business software platforms (like CRM systems, secure client portals, practice management tools, multi-channel communication software) simultaneously . Experience troubleshooting common software/tech issues independently is highly valued. Superior organizational, time management, and prioritization skills – proven ability to juggle competing demands in a dynamic setting. Impeccable attention to detail and an unwavering commitment to accuracy. Outstanding professional communication etiquette suitable for diverse platforms and languages. What We’d Love to See (Preferred Qualifications): Active Florida Health Insurance License (e.g., 2-15 Life, Health & Annuity or 2-40 Health Agent). Prior experience working directly in a tax preparation office Experience managing, coordinating, or supervising remote/virtual team members. Prior experience within accounting, legal, or similar professional services environments. An active Notary Public commission in the State of Florida. An Associate’s or Bachelor’s degree in Business Administration or a related field. Compensation & Benefits:
Salary:

The salary range for this position is $41,000 – $50,000 per year , commensurate with experience and qualifications. Paid Time Off (PTO): Employees receive 1 week of PTO after one year of service, increasing to 2 weeks of PTO after two years of service.

Paid Holidays:

We observe the following paid holidays: New Year’s Day, Good Friday, Memorial Day, Independence Day (July 4th), Labor Day, Thanksgiving Day, Christmas Eve, and Christmas Day.
