We are seeking a highly organized and professional Office Administrator to help manage daily operations, support our advisors, and contribute to a smooth, efficient office environment.

Key Responsibilities:

Provide day-to-day administrative support to financial advisors and staff. Manage calendars, schedule client appointments, and coordinate meetings. Answer phones, respond to client inquiries, and serve as a professional first point of contact. Prepare and process client paperwork, including applications, disclosures, and account forms. Maintain and organize electronic and physical files in accordance with compliance standards. Assist in preparing client presentations, reports, and proposals using Microsoft Word, Excel, and PowerPoint. Monitor and manage office supplies, mail, and other operational needs. Support marketing efforts by coordinating mailings, client communications, and event logistics. Ensure compliance with industry regulations and firm policies in all administrative processes.

Qualifications:
Preferred:

Experience in financial services or with a financial advisory firm. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. Excellent communication skills—both verbal and written. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Comfortable learning and working with CRM systems and industry-specific platforms. High level of professionalism, discretion, and integrity in handling confidential information. Self-starter with strong attention to detail and a proactive approach to problem-solving.
