The ideal candidate will be responsible for ensuring the smooth functioning of administrative tasks and providing exceptional support to both employees and clients. This role requires a detail-oriented individual with strong customer service and communication skills, as well as a commitment to maintaining a professional and efficient office environment. The successful candidate must be prepared to work in their own quiet, dedicated, professional workspace with access to wi-fi. Basic office equipment will be provided to the candidate upon hiring and completion of background check. Responsibilities Manage incoming calls and emails with professionalism and courtesy, scheduling and dispatching service calls as needed. Ensure invoices and estimates are complete and sent to customers. Request insurance certificates from carriers and provide updates to certificate holders. Apply for City permits, including completion of all necessary application documents. Follow through with coordinating and scheduling of inspection and closing out of permits. Pick up checks from designated location(s) to deposit at Chase Bank weekly (or more if needed). Handle other clerical duties such as filing, data entry, and maintaining organized documentation systems. Ensure monthly safety meeting is documented by field manager and signed by technicians. In the event of injury, follow company reporting procedures. Develop and maintain office policies and procedures to promote efficiency and productivity. Skills Strong front desk management/customer service skills with excellent phone etiquette. 1-2 Years experience with QuickBooks. Experience with Housecall Pro software (or ability to learn quickly) Knowledge of HVAC or construction is a plus. Exceptional clerical skills with attention to detail in filing and documentation processes. Strong organizational skills with the ability to prioritize tasks in a fast-paced environment.
