As the Office Manager, you will be responsible for managing and coordinating various administrative tasks to support our service teams, technicians, and management. Key Responsibilities:
Oversee and manage day-to-day office operations, ensuring a smooth workflow and efficient use of resources. Supervise and provide guidance to administrative staff, including receptionists, customer service representatives, and administrative assistants. Assist in recruiting and onboarding new employees, providing training and support as needed. Assist with or lead weekly payroll process if not responsibility of other department. Coordinate and prioritize administrative tasks, delegating responsibilities and monitoring progress to ensure timely completion. Develop and implement office policies and procedures to streamline administrative processes and enhance overall efficiency. Manage and maintain office supplies and equipment inventory, sourcing and ordering items as needed. Oversee the maintenance of office facilities, ensuring a clean and well-organized work environment. Serve as the primary point of contact for internal and external communications, addressing inquiries and providing exceptional customer service. Assist in scheduling service appointments, coordinating with customers and technicians to ensure availability and efficient scheduling. Collaborate with accounting and finance departments to manage invoicing, accounts payable/receivable, and financial reporting. Generate and analyze reports, providing insights and recommendations to improve operational efficiency and customer satisfaction. Monitor and maintain office budgets, tracking expenses and ensuring cost-effective operations. Stay updated on industry trends and best practices, implementing improvements and innovations in office management. Uphold company policies and procedures, ensuring compliance with relevant regulations and guidelines. May handle additional administrative duties as assigned.
Qualifications:
Previous experience in office management or a related leadership role. Strong leadership and supervisory abilities, with a collaborative and supportive approach. Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software. High level of integrity and the ability to maintain confidentiality of sensitive information. Excellent organizational and multitasking skills, with the ability to prioritize and manage multiple tasks simultaneously. Experience with filing permits, workers comp claims, and onboarding and offboarding employees.
Preferred Qualifications:
Familiarity with HVAC, plumbing, or electrical terminology and concepts is preferred. Bachelor’s degree in business administration or a related field is preferred.
