Job Description

As the Office Manager & Administrative Assistant to the CEO, you will oversee day-to-day office operations, facilities management, and provide direct support to the CEO. You’ll ensure a well-organized, professional, and welcoming office environment, balancing office responsibilities with high-level administrative support. This role requires proactive thinking, exceptional communication skills, and a high level of professionalism and discretion. Key Responsibilities Office Management & Operations Kitchen, Office Supplies & Inventory

  • Manage kitchen and office supplies, including snacks, and equipment; ensure the office is always well-stocked and organized. Facilities & Vendor Management
  • Coordinate facility repairs and maintenance, liaise with building management, and oversee vendor services. Office Cleanliness & Organization
  • Maintain a tidy, welcoming office space, including conference rooms, kitchens, and common areas. Package Handling
  • Manage incoming and outgoing deliveries. Environmental Scanning
  • Regularly assess office conditions, proactively resolving any issues to maintain a safe and productive work environment. Administrative Support to the CEO Calendar & Schedule Management
  • Organize the CEO’s meetings, appointments, and travel to ensure smooth daily operations. Meeting & Event Coordination
  • Arrange logistics for meetings, including agenda preparation, room setup, and minute-taking. Personal Assistance
  • Assist with weekly personal errands and arrange for meal coordination during the week. Confidential Information
  • Handle sensitive and confidential information with discretion and professionalism. Office Readiness
  • Maintain an orderly and well-stocked CEO office space. Communication & Engagement Stakeholder Liaison
  • Act as the primary point of contact between the CEO and internal/external stakeholders. Company Communications
  • Assist with internal communications and manage company social media accounts. Qualifications 1-3 years of experience in an administrative or office management role. High level of professionalism, discretion and resourcefulness. Naturally warm, friendly, and approachable
