POSITION GOAL:

To perform clerical and administrative tasks in support of the efficient and effective operations of the office.

ESSENTIAL PERFORMANCE RESPONSIBILITIES

The Office Manager I (Elementary & Middle Schools) shall carry out the essential performance responsibilities listed below:

  • Perform a variety of clerical duties to support supervisory and administrative personnel in handling daily activities.
  • Receive, research, route and/or respond to inquiries from parents, students, staff and the general public, as required.
  • Demonstrate and promote exceptional customer service, greeting students, parents, staff and visitors in a courteous manner and making every effort to address and resolve issues efficiently.
  • Receive and route telephone calls, answering routine questions. Greet, assist and direct visitors as appropriate.
  • Compose and edit routine correspondence, including forms, memoranda, reports, manuscripts, and other materials.
  • Serve as the primary payroll contact for the respective school, which includes responsibility for entry of employee information into applicable systems, creation of I-forms, generating and review of payroll reports for accuracy prior to submission, and researching employee payroll concerns.
  • Provide assistance with bookkeeping duties, as required.
  • Maintain office files, property inventory, time and attendance records, payrolls, and personnel data.
  • Open mail assemble material for review and use by school administration.
  • Provide assistance and guidance to other members of the clerical team on work procedures, methods, and policy changes as required, or at the direction of the immediate supervisor or designee.
  • Interact effectively with the general public, staff members, students, teachers, parents, and administrators, using tact and good judgment.
  • Operate standard office equipment as required by the job.
  • Perform and promote all activities in compliance with the equal employment and non-discrimination policies of The School Board of Broward County, Florida.
  • Participate in training programs offered to enhance the individual skills and proficiency related to the job responsibilities.
  • Reviewcurrent developments, literature and technical sources of information related to job responsibilities.
  • Ensure adherence to good safety rules and procedures.
  • Follow federal and state laws, as well as School Board policies.
  • Perform other duties as assigned by the immediate supervisor, or designee.
MINIMUM QUALIFICATIONS & EXPERIENCE
  • Standard high school diploma or satisfactory completion of an approved General Educational Development (GED) Testing Program.
  • A minimum of three (3) years, within the last five (5) years, of clerical work experience.
  • Knowledge of clerical practices and procedures including filing, answering telephones, or utilizing standard office equipment.
  • Advanced interpersonal skills and ability to interact effectively with the public; demonstrated sensitivity to the problems and emotional distress of students, parents, and other school/department constituents.

  • Proficient in the operation of office machinery and equipment, including personal computers, fax machines, printers, scanners, etc.
  • Effective verbal and written communication skills.
  • Advanced organization skills and keen attentiveness to detail.
  • Computer skills as required for the position.

PREFERRED QUALIFICATIONS & EXPERIENCE
  • Prior clerical work experience with Broward County Public Schools.
  • Bilingual skills.

– frequency, contact, purpose, and desired end result: Frequently works with parents and students, as necessary; interacts with staff and the general public regarding various inquiries.

PHYSICAL REQUIREMENTS

Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or up to 10 pounds of force as needed to move objects.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be those established by the School Board.

EVALUATION

Performance will be evaluated in accordance with Board Policy.
