Job Description

Office Administrator Confidential Naples, FL 34106 The Front Desk Receptionist is the first point of contact for clients, visitors, and staff at our mental health office. This vital role requires a compassionate, organized, and detail-oriented individual with excellent communication and interpersonal skills. The Front Desk Receptionist is responsible for creating a welcoming and supportive environment for individuals seeking mental health services while efficiently managing administrative tasks to ensure the smooth operation of the office. This position requires a high degree of professionalism, confidentiality, and empathy.

Responsibilities:
Client Reception and Support:

Warmly greet and welcome clients and visitors, ensuring they feel comfortable and acknowledged. Answer phone calls promptly and professionally, providing information, taking messages, and directing calls appropriately. Schedule client appointments, managing the appointment calendar with accuracy and attention to detail. Assist clients with completing necessary intake forms and other documentation. Maintain the confidentiality of client information in accordance with HIPAA regulations and office policies. Handle sensitive client inquiries and concerns with empathy and professionalism, escalating issues to the appropriate staff member when necessary. Provide a calm and reassuring presence in the waiting area.

Administrative and Office Operations:

Maintain a clean, organized, and welcoming reception area. Manage incoming and outgoing mail, faxes, and emails. Assist with insurance verification and pre-authorization processes. Collect client co-payments and process payments accurately, maintaining financial records as required. Assist with data entry, filing, and other administrative tasks as assigned. Troubleshoot basic office equipment issues and report more complex problems to the appropriate personnel. Create social media posts, monthly newsletters and other marketing tasks

Compliance and Confidentiality:

Adhere strictly to all HIPAA regulations and maintain the confidentiality of all client information. Follow office policies and procedures related to client privacy and data security.

Qualifications:

High school diploma or equivalent required; Associate’s degree preferred. Proven experience in a front desk, administrative, or customer service role, preferably in a healthcare or mental health setting. Excellent verbal and written communication skills. Strong organizational and time-management skills with the ability to multitask1 and prioritize effectively. Exceptional interpersonal skills with a warm, empathetic, and professional demeanor. Ability to remain calm and composed in stressful situations.
