Office Manager Job Summary:
We are seeking a detail-oriented and highly organized Office Manager with expertise in Payroll, Accounts Payable (AP) and Accounts Receivable (AR). This role is responsible for overseeing office operations while ensuring the timely and accurate processing of payroll, invoices, payments, and receivables.
Key Responsibilities:
Office Management:
Oversee daily office operations, including administrative support and office supply management. Coordinate office logistics, vendor relationships, and facility maintenance. Assist in HR functions, such as employee onboarding, maintaining personnel files, and scheduling. Manage office communication, including emails, phone calls, and correspondence. Organize meetings, maintain records, and support company leadership as needed.
Payroll Administration:
Process payroll accurately and on time for all employees. Maintain payroll records, including timesheets, deductions, and benefits. Ensure compliance with federal, state, and local payroll regulations. Handle employee payroll inquiries and resolve discrepancies Work with finance teams to ensure accurate reporting and tax filings. Accounts Payable (AP): Process vendor invoices and ensure timely payments. Verify and reconcile invoices with purchase orders and receipts. Maintain vendor records and handle inquiries. Assist in month-end closing and financial reporting. Accounts Receivable (AR): Generate and send customer invoices, ensuring timely collections. Process incoming payments, apply to accounts, and reconcile discrepancies. Monitor outstanding balances and follow up on overdue accounts. Prepare AR aging reports and assist in financial audits.
Qualifications:
Education:
Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field preferred.
Experience:
3+ years in office management with AP/AR responsibilities.
Skills:
Strong understanding of accounting principles, invoicing, and payment processing. Excellent organizational and multitasking skills. Ability to maintain confidentiality and accuracy in financial records. Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Work Environment:
Full-time, on-site role in a professional office setting. May require occasional overtime during financial reporting periods. Occasional travel may be required for training or business needs. This position requires a pre-employment background check.
